Graybill Service Group is a family-owned plumbing and HVAC company serving residential and commercial customers since 2002. We specialize in plumbing, hydronic heating, and trenchless pipe lining, combining skilled workmanship with modern equipment and methods. What You'll Do as a Service Coordinator:- Answer customer calls and messages and serve as the main point of contact.
- Manage & adjust the daily service schedule for 4-8 technicians.
- Track technician locations, job status, and progress throughout the day.
- Fill schedule gaps and coordinate follow-up or incomplete jobs.
- Maintain accurate customer, job, and invoice records in the dispatch system.
- Complete post-service follow-up calls and document results.
- Prepare completed jobs for billing and coordinate invoice questions as directed.
- Coordinate parts ordering and support service leadership with daily operations.
- Experience: Minimum of 3 years of customer service experience required, along with 3 years of scheduling, dispatching, or service coordination experience. High school diploma required.
- Operations-minded: Handles shifting schedules, improves processes, and raises issues before they become problems.
- Relationship-focused: Enjoys building and maintaining strong relationships with customers, technicians, and coworkers.
- Leadership Exposure: Comfortable working directly with the CEO on projects and initiatives that support company growth.
- Computer Savvy: Proficient with basic computer tools, including Microsoft Office. Experience with Service Titan, Quick Books Online, or dispatch software is a plus.
- Adaptable: Thrives in a role with variety and shifting priorities.
- Work Environment: Able to sit for most of the workday while managing phones, scheduling systems, and computer-based tasks.
- Full-time position, Monday-Friday, 7:00 a.m.
-4:00 p.m. - $55,000-$60,000/year, DOE
