Job Description:

The Alumni Relations Assistant reports to the Director, Alumni Regional and Class Engagement, and supports the Senior Associate Directors for Regional Engagement and Class & School Engagement. This role provides high-level operational and administrative support and serves as the central hub for the Regional and Class & School Engagement teams, ensuring workflows, professional communication with senior University officials, and successful execution of alumni programming.

Responsibilities
  • Executive Support & Administration
    • Calendar & Travel:
      Manage complex daily schedules for the Director and Senior Associate Directors; coordinate University-related travel and itineraries when necessary.
    • Budget Assistance:
      Manage budgets for Regional, Class & School Engagement and Law; process related expenses such as P-Card transactions and reconciliations.
    • Office Operations:
      Manage dedicated telephone lines and email accounts; greet visitors at the Alumni Center; handle mail correspondence, including the Fed Ex account.
    • Data & Reporting:
      Run regular alumni constituent reports and submit meeting contact reports; act as the CVENT and Spark liaison, update volunteer tags, add internal registrants and no-shows, assist with attendance registration, and run reports.
    • Spark Record Upkeep:
      Handle name changes, death notices, address changes, etc.
  • Program & Event Management
    • Portfolio Management:
      Take primary responsibility for a small portfolio of annual programs as assigned by the Director.
    • Pre & Post Event Logistics:
      Plan 300+ annual events, including printing name tags, Spark & CVENT input, manage the email/event submission process, and provide on-site support for regional, class-specific, and law events.
    • Impact Analysis:
      Create and distribute post-event surveys; analyze data to provide insights for future programming.
    • Documentation:
      Create and maintain agendas, meeting minutes, and programming documents for the Director and Senior Associate Directors.
    • On-Site Event Support:
      Support local signature events (e.g., Reunion Weekend, Law Reunion, Winter Wonderland, Laetare Mass, Easter Celebration, Boston Holiday Party) and other events as needed.

This position requires the ability to execute a variety of tasks with precision, flexibility, and confidence, both independently and as part of a nineteen-person Alumni Relations team. The role often handles confidential materials; good judgment and discretion are required. Excellent interpersonal and organizational skills, proofreading, attention to detail, strong written and verbal communication, and the ability to manage multiple tasks and projects are essential.

Full-time hiring equivalent salary range is $46,600 to $58,250. Salary is commensurate with relevant experience.

Requirements

This position requires a minimum of two years of increasingly responsible experience in volunteer management or special events in a university, nonprofit, or related setting, or equivalent experience. Exceptional communication and interpersonal skills, demonstrated volunteer and event management skills, and the ability to manage multiple projects with attention to detail are required. Proficiency with Microsoft Office is required; familiarity with fundraising software (Blackbaud, CVENT) is preferred.

Knowledge of the university budget and purchasing policies is preferred. Ability to work flexible hours and be available for on-site event management evenings and weekends is required. Good judgment and discretion in handling confidential materials are necessary. A high school diploma is required; a bachelor’s degree is preferred. Candidates should be motivated to work in a fast-paced environment with some night and evening work.
