Key requirements:
  • Experience with data entry, recordkeeping, and database management
  • Knowledge of service, inspection, and administrative processes
  • Excellent attention to detail and organizational skills
  • Ability to prioritize tasks and meet deadlines
  • Strong communication skills and team-oriented mindset
  • Familiarity with invoicing or billing systems is a plus
Main responsibilities:
  • Update and maintain service site information and customer contact details in designated systems
  • Upload inspection reports to compliance platforms
  • Follow up on overdue invoices, and prepare billing documents based on completed work
  • Process inspection and service reports, ensuring accuracy and completeness
  • Organize and manage electronic or physical records of inspections, reports, and certifications
  • Support billing activities, resolving discrepancies in collaboration with finance teams
  • Track contract and inspection renewal dates to ensure proper compliance and renewal management
  • Assist with adhering to fire protection and safety regulations, supporting audit requests and documentation requirements
  • Maintain databases for service and inspection activities and contribute to operational reporting
  • Provide administrative assistance to technicians and supervisory staff to facilitate smooth operations
