Position: Building Office Assistant - S-III (12-month)
Location: Kennett Square

BUILDING OFFICE ASSISTANT - S-III

Patton Middle School

7.5 hours/day, 260 days/year - 12 months

Salary $17.44 to $19.76 per hour

Job Summary: Responsible for providing confidential administrative support services to the Principal, Assistant Principal, and staff. The ability to interact with staff, parents, and visitors in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of friendliness, professionalism, and confidentiality, is crucial to this role.

QUALIFICATIONS: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills, and/or ability necessary.
  • High School Diploma with training or experience working in office; college or business school preferred
  • Experience with Power School is helpful.
  • Advanced Skills with Word, Excel, email, Google cloud-based technology
  • Candidate must be detail-oriented with excellent oral and written communication skills.
  • Excellent time management skills ability to prioritize work and deliver organized projects on time.
  • Candidate must respect confidentiality of sensitive information and possess a high level of discretion.
  • Organized; ability to handle frequent interruptions
  • Ability to work independently and collaborate as part of a team
  • Ability to assess a situation and problem-solve
  • Confidence, poise, tactfulness, positive attitude, flexibility
  • Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements
  • Candidates must adhere to all local, state, federal, and school code requirements for employment.
  • ESSENTIAL DUTIES: Employees must have the ability to perform the following essential functions on a timely basis with or without reasonable accommodations.
  • Administrative and clerical support to Principal, Assistant Principals, and staff.
  • Preparation of general correspondence and report generation using advanced computer skills with Google, Excel, Word, Power School databases.
  • Process payments for athletics; enter rosters into League Minder for all sports seasons; monitor academic eligibility throughout the year for athletics.
  • Coordinate and assist with the process of finalizing Marking Period and End of Year Grades.
  • Run Honor Roll report; print and distribute Honors and Distinguished Honors certificates.
  • Coordinate PSSA and Keystone testing.
  • Print, mail, and file STAR testing parent reports.
  • Staff attendance and manage daily substitutes
  • Process record requests for students applying to other schools.
  • Maintain Locker lists and enter them in Power School.
  • Answer phone calls and direct calls to the appropriate parties; take messages as needed.
  • Main Office counter assistance as needed
  • Greet visitors and process identification through the Raptor System. as needed
  • Maintain records, filing
  • Maintain a safe and secure office environment.
  • Regular and consistent attendance
  • Other duties as assigned
