Overview

The Administrative Specialist, Document Control will provide critical administrative and document management support in a regulated environment. This role is responsible for organizing, labeling, tracking, and archiving a high volume of documents while ensuring accuracy, compliance, and adherence to strict timelines. The position supports both onsite document control activities and offsite secure storage coordination.

Responsibilities
  • Label, organize, and archive a high volume of documents (2,250+), ensuring accurate identification and traceability
  • Enter and manage documents within the Document Archive Room according to established procedures
  • Generate, issue, and maintain controlled logbooks
  • Coordinate the secure shipment of documents to an offsite GMP-compliant storage facility (e.g., Iron Mountain)
  • Ensure all documents are properly scanned, indexed, and verified prior to offsite shipment
  • Maintain accurate records and tracking logs for archived and transferred documents
  • Support audits and inspections by retrieving documentation as requested
  • Perform additional administrative and clerical duties as needed to support the team

  • Proven ability to work accurately and efficiently in a fast-paced, deadline-driven environment
  • Ability to manage multiple priorities while meeting strict timelines
  • Strong work ethic with a high level of accountability and reliability
  • Comfortable working with physical and electronic document management systems
  • Effective written and verbal communication skills
Education & Experience
  • Minimum of an Associate’s Degree required
  • Prior experience in administrative support, document control, records management, or regulated environments preferred
