Key Roles and Responsibilities
Office Management
  • Procure, replenish, and manage office supplies, corporate gifts and corporate souvenirs, while maintaining accurate and up‑to‑date inventory records.
  • Handle and process staff requests and other administrative requirements.
Administrative Support
  • Provide administrative support to the Corporate Affairs (CA) Team, including weekly staff movement updates, team weekly meeting coordination, onboarding of new employees and other assigned tasks.
  • Track and facilitate learning programmes; plan and implement bi‑monthly sports activities for CA team.
  • Arrange flights and accommodation for overseas trips when required.
  • Ensure proper processes for e‑signing agreements, including document routing and approvals via Docusign.
Financial Management
  • Process and track Purchase Requisition s (PR) and Purchase Orders (PO) in line with company workflow, ensuring accuracy, timeliness and compliance with Group Policy.
  • Ensure timely invoice processing, verification and completion of Goods Receipt.
  • Accurately raise Accounts Receivable (AR) and General Ledger (GL) entries for payments, budget commitments, claims and other financial transactions.
  • Maintain a weekly tracker for budget reporting during Team Weekly meetings.
  • Identify opportunities for cost savings and process efficiencies, recommending improvements where appropriate.
Events Management
  • Assist in booking venues, equipment, and vendors in accordance with procurement policies and procedures.
  • Track expenses, process invoices, and manage event budgets.
  • Support on‑site logistics, venue set‑up, registration, and post‑event follow‑up.
Asset Visits
  • Manage calendars for Tengeh and Jurong Island (JI) visits.
  • For JI visits:
    Ensure JI pass application and site security clearances are submitted two weeks before the visit.
  • For Tengeh visits:
    Ensure indemnity forms are submitted one week before the visit.
Other Duties
  • Perform any other administrative duties as required to support the team and the Head of Corporate Affairs & Sustainability, Gas & Related Services, to ensure the smooth office operations.
Qualifications, Skills & Experience
  • 3–5 years of experience in administrative support or similar roles in a large and established organisation.
  • Excellent organisational and time management skills, with the ability to multitask and prioritise effectively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software tools.
  • Ability to handle confidential information with integrity and discretion.
  • Exceptional problem‑solving skills and strong attention to detail.
  • Self‑motivated, with the ability to work independently with minimal supervision.
