Overview

The US Oncology Network is looking for a Float Scheduler to join our team at Texas Oncology
. This full‑time position will primarily support our Pearland, Texas location.

This position will be either a level I, II or Senior based on candidate experience.

What Does the Scheduler Do?

Under direct supervision, the scheduler is responsible for scheduling patient appointments and tests in an efficient and timely manner, answering incoming calls, directing calls to appropriate personnel, serving as a liaison between patient and medical staff, and supporting the US Oncology Compliance Program.

Responsibilities
  • Answers all incoming calls, assesses callers’ needs, directs to appropriate personnel, and pages clinic personnel as appropriate.
  • Obtains and communicates messages accurately and timely.
  • Schedules new patients, referrals, and returning patients in the computer system per physician and office guidelines, including appropriate documentation and coding.
  • Reschedules or cancels appointments according to physician schedule changes; notifies appropriate clinic personnel.
  • Obtains and enters all insurance authorizations and referral correspondence in patients’ charts and/or electronic medical records (EMR).
  • Collects co‑pays, deductibles, and other out‑of‑pocket amounts at the time of visit.
  • Maintains the primary office scheduling template containing physician meetings, satellite schedule, rounding, and call coverage.
  • Arranges for patients to receive financial counseling as needed.
  • Demonstrates understanding of patient confidentiality and protects patient and clinic/practice information.
  • Follows policies and procedures to contribute to front‑office efficiency and covers other front‑office functions as requested.
  • Prepares correspondence, memos, forms, and other typing as requested by supervisor.
  • Schedules outpatient appointments/testings/surgeries and hospital admissions upon request, obtaining necessary pre‑certification as required.
  • Communicates to patient about surgeries or tests being scheduled, inquiring about test specifics from necessary parties, and gathering patient information as needed.
  • Follow‑s up on all pre‑operative tests to ensure clearance for surgical procedures and communicates with physician and patients if further testing is required before surgery.
  • Schedules post‑operative follow‑up appointments with physicians.
  • Possesses a basic understanding of medical terminology for tests and surgical procedures, including coding and the ability to look up codes specific to diagnosis, surgery, and scheduling procedures.
Qualifications

The ideal candidate will have the following background and experience.

Level I
  • High school diploma or equivalent required.
  • Entry level; 0–3 years’ experience preferably in a medical office setting.
  • Knowledge of medical terminology and coding a plus.
  • Excellent communication skills, written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Level II (in addition to Level I requirements)
  • Minimum three (3) years office experience, preferably in a medical office setting.
