Administrative Assistant to Director of Special Services

The Payette School District has the following position available for the 2025-26 school year:

Administrative Assistant to Director of Special Services

Purpose: The Special Services Administrative Assistant is responsible for a variety of duties and responsibilities in support of the Director of Special Services providing technical and administrative support related to a variety of Special Services duties. Assignments may include compiling and analyzing data, coordinating multiple concurrent activities, and interacting with individuals and groups at most levels in the organization.

Responsible to: Director of Special Services, Superintendent

QUALIFICATIONS

  • High school diploma or equivalent (additional related training desirable but not required)
  • Ability to communicate effectively and provide excellent customer service.
  • Ability to assume responsibility, display initiative, think critically and exercise good judgment.
  • Advanced computer skills and ability to operate office equipment.
  • Working knowledge of a student database.

Preferred experience:

  • Job related experience in schools
  • Knowledge of software currently used in the district
  • Additional training or education related to Microsoft Office, Google Suite, Adobe Acrobat

General Responsibilities: Coordinates the collection, processing, and reporting of accurate district data to meet local, state, and federal requirements. Collaborates with team members to accomplish objectives established by the Director of Special Services. Adapts to the variety of responsibilities.

Essential Functions: Other duties may be assigned. This list is illustrative only and is not a comprehensive listing of all functions and tasks performed by incumbents.

  • Assist the Director of Special Services with a variety of responsibilities and special projects
  • Process all records requests from outside agencies and other school districts.
  • Screens and routes incoming telephone calls;
    Greets and assists students, staff and community in person and by telephone, in a courteous, professional, and friendly manner.
  • Files, makes copies, makes room reservations and other general clerical tasks.
  • Performs internal and external office communication: email, voicemail and miscellaneous written correspondence (to include general clerical responsibilities).
  • Gather and merge data to complete annual local, state, and federal reports.

OTHER DUTIES AND RESPONSIBILITIES

  • Assist with annual reports, renewals and other special projects as needed
  • Update the departmental or district manuals and information as assigned
  • Meeting internal and external public in a competent and diplomatic manner
  • Receive and route incoming calls and correspondence

    Arrange meetings, prepare agendas, and handle follow‑up activities as necessary
  • Assist and direct visitors to the appropriate school, building or department
  • Maintain a well‑organized, up‑to‑date filing system for office paperwork
  • Ensure office forms, applications, and documents have ample supply, make copies as needed
  • Operate equipment such as computers, copiers, calculators, telephone systems, and scanners

OTHER

  • Organize job functions and work assignments to effectively complete assignments within established time frames
  • Seek assistance as necessary when emergencies arise

    Represent the school district in a positive manner at all times
  • Know and follow school district policy and chain of command
  • Perform other duties as assigned

COMPENSATION

Salary based on experience and skills.

EVALUATION

Performance of this position will be evaluated annually by the superintendent and/or the business manager in conformance with federal and state law, administrative rules, and Board policy.

This position shall be considered in all respects “employment at will”. The “employment period” and other descriptions and terms set forth in this job description shall not create a property right for the employee. These are set forth only to advise the employee of when and what type of services will be required by the district so long as the employment continues.

NOTE

All certificated and non-certificated employees and other individuals are required to undergo a criminal history check and submit to fingerprinting.
