We are seeking a highly motivated Administrative Assistant to aid the office of PD JS (and all subordinate offices) at Picatinny, NJ, pending contract award.

We are seeking a highly motivated Administrative Assistant to aid the office of PD JS (and all subordinate offices) at Picatinny, NJ, pending contract award.
Responsibilities
- Provide administrative support and act as focal point to ensure that administrative functions are consistent within PD JS.
- Ensure documents such as memorandums, correspondences are formatted properly according to DoD, DA, and local policies
- Schedule activities, maintain calendars, and schedule conference rooms, including setting up telecons, video telecommunications (VTC's) and web conferencing for PD JS, PdD Demil and Program Office personnel.
- Act as the first point of contact for receiving visitors and screening phone calls for senior staff.
- Log and track documents for approval and ensure that documents are drafted in the correct format.
- Make travel arrangements, prepare travel orders, and prepare vouchers for PD JS Government personnel.
- Assist Product Director for Demilitarization (PdD Demil) and PD JS Program Offices personnel in personnel accountability.
- Consolidate input and prepare draft PdD Demil Weekly Significant Activities Report to be submitted to PD JS Operations Officer.
- Attend and prepare minutes for weekly PD JS and PdD Demil staff meetings and the staff teleconferences
- Support Operations Officer in formal and informal work groups to plan, support ceremonies and special events.
- Prepare and manage, leave requests, training requests, travel claims, visitor passes, and other forms and correspondences.
- Collect and maintain travel records in compliance with the PD JS travel policy.
- Review time sheets to ensure personnel are using the correct Work Breakdown Structure (WBS) numbers.
- Maintain office documentation and files including PD JS and PdD Demil acronyms and PdD Demil Enterprise Roster.
- Track and submit daily accountability and Temporary Duty (TDY) status for PD JS and PdD Demil.
Required Qualifications & Experience
- Active Secret Clearance
- Bachelors Degree in a related field (4+ additional years may substitute)
- Complete Defense Travel System (DTS) and travel card training and provide certifications of completion
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage sensitive information with discretion and maintain confidentiality.
- Customer service mindset with a proactive approach to problem-solving.
