The Payroll Specialist is a member of the HR team who ensures accurate processing of payroll for multiple entities. You will live out our Partnership value by providing accurate and timely payroll processing for our clients ("business partners"). You will embody our Process value by determining the most efficient way to manage our business partners’ payroll data. This position resolves all payroll-related problems and ensures the effective processing of payroll.
This role provides administrative support to the human resources function as needed; record-keeping, file maintenance, and HRIS data entry.
This role is expected to average approximately 10 hours per week, with slight increases during payroll processing or year-end reporting periods.
Responsibilities- Process bi-weekly and semi-monthly payrolls efficiently and in compliance with applicable regulations.
- Manage workflow to ensure multiple payrolls are submitted on time.
- Collect timecards, approvals, and payroll corrections/changes from business partners.
- Process manual checks, final pay calculations, and severance payments in accordance with state law.
- Execute time and attendance processing and interface with payroll systems in compliance with federal, state, and local regulations.
- Reconcile payroll prior to transmission and validate final reports.
- Understand and apply proper taxation of employer-paid benefits and special payouts.
- Prepare ad hoc financial and operational reporting as needed.
- Troubleshoot and resolve issues with HRIS and payroll software providers.
- Complete employee onboarding documentation and benefit enrollments as needed.
- Calculate employee garnishment calculations in compliance with state regulations.
- Process accurate and timely year-end reporting as applicable (W-2, W-2c, etc).
- Maintain action items and status updates in project management tools.
- Stay informed of organizational announcements, activities, and changes via Missionwell’s communication tools and attendance at staff and team meetings.
- Maintain an individual professional development plan with a quarterly review and support from your supervisor.
- Maintain strict confidentiality in all aspects of the role.
- Perform other duties and responsibilities as requested or as assigned.
- Associate s degree (minimum) in related field required.
- 3+ years’ experience processing required with multi-state payroll experience preferred.
- Thorough understanding of payroll processing procedures and applicable regulations.
- Strong organizational skills with exceptional attention to detail.
- Ability to work well under pressure with sound judgment, problem-solving and analytical skills.
- Competent math skills and comfortable working with spreadsheets and formulas.
- Experience with ADP, Bamboo
HR, Gusto, isolved, Paychex, Paylocity, and/or Rippling preferred. - Proficient with Microsoft Office Suite and able to learn new systems as needed.
- Excellent clarity in verbal and written communication; able to communicate with professionalism, grace, and respect in all interactions.
- Positive, resourceful, solution-oriented approach; able to determine when to seek assistance.
- Comfort navigating the unique payroll and HR needs of small organizations with limited internal HR staff.
- Demonstrated punctuality, dependability, and ability to work independently in an efficient and effective manner.
- Solid time and project management skills; able to manage competing priorities and adapt to change.
- Familiarity with or a willingness to learn nonprofit payroll practices; an understanding of religious organizations and nonprofits is especially valued.
