Administrative and Marketing Coordinator
Full-time/Part-time, Non-exempt, 20–25 hours per week. Position located in Pasadena, CA, at Fuller Theological Seminary. The Center for Peace building and Conflict Transformation (CPCT) seeks a highly organized, entrepreneurial individual to support administration, marketing, and communications under the Executive Director’s supervision.
Essential Functions- Administrative:
- Provide support to the Executive Director (ED), addressing administrative requirements and responding to online inquiries.
- Manage the ED’s calendar, travel arrangements, and reservation logistics.
- Oversee the CPCT calendar, coordinating dates, venues, agendas, and follow‑up on meeting matters.
- Assist the ED with communication across CPCT, Fuller leadership, staff, faculty, and external partners.
- Establish and maintain electronic infrastructure for departmental records, including donor and fundraising databases, ensuring timely updates.
- Collaborate with the ED on planning and executing CPCT programs and events (virtual and in‑person).
- Attend and record minutes of CPCT Advisory Council meetings.
- Attend regular CPCT staff meetings, ensuring all relevant materials are included in meeting documents.
- Perform other administrative duties as assigned.
- Marketing:
- Collaborate with the ED on marketing and communications strategies and timelines.
- Develop and maintain marketing calendars to adhere to social media posting schedules.
- Design and produce visual assets and schedule posts for CPCT social media platforms and marketing collateral.
- Draft and disseminate email communications to the CPCT audience, advisory council, and donor community, including the monthly newsletter.
- Bachelor’s degree or equivalent.
- Ability to hold and manage confidential information.
- Strong interpersonal and communication skills with a diverse community.
- Knowledge of emerging technologies and trends relevant to the field.
- Records and database maintenance skills.
- Organizational skills and ability to set priorities.
- Event planning and coordination experience.
- Understanding of academic and/or nonprofit administrative principles.
- Intermediate graphic design skills for social media and e‑communications.
- Proficiency with Google Suite, Canva, Adobe Pro, Slack, Notion, and other digital tools.
- Experience with virtual meeting platforms such as Zoom and Google Meet.
- Ability to sit or stand for up to 8 hours at a time.
- Requires repetitive motions, including frequent typing.
- Must be willing to abide by Fuller’s Community Standards.
- The position is based on Fuller’s Pasadena campus; starting as an in‑person role with 25 hours per week, a hybrid schedule is possible with a minimum of 3 days per week on site.
Hourly rate expected: $22–$25 USD.
