The Medical Extender is primarily responsible for providing high-quality customer services and basic medical assistance to members of the Integrated Health Clinic, as well as assisting the Psychiatrist and/or Family Nurse Practitioners (FNP) with any demands or procedures requested.

Primary Duties/ Responsibilities:
  • Perform a variety of administrative and operational support duties such as Managing office equipment, Faxing/scanning documents, medical records, & maintaining a clean work area.
  • Answers direct telephone calls; takes messages and routes them to the appropriate staff/provider in a timely manner.
  • Schedule & reschedule member appointments.
  • Performs reminder calls and No-show calls to member and documents in member’s chart using DAP format.
  • Utilizes good judgement to provide quality customer service to all members of Community Health Associates in office, as well as over the phone.
  • Ensure welcoming, safe, and secure environment.
  • Prepare medical exam/psych rooms, equipment, and materials as needed for members.
  • Perform routine medical tasks such as taking vitals for members.
  • Prepares and coordinates any PNP/FNP orders such as: in office procedures, Laboratory orders, EKG’s.
  • Prepares Injections by taking vitals and gathers information for psychotropic injections to be administered by RN or FNP.
  • Obtain and document all pertinent information in member’s electronic health record using DAP format.
  • Gather member information to provide to the Psychiatrist/FNP provider prior to appointment.
  • Collaborates with Pharmacies to ensure members medications have been received and filled.
  • Assists pharmacy with calling in prescriptions per NP’s request and coordinating psychotropic injections.
  • Provide translation services for Spanish speaking members (ALTA certification required).
  • Protect and maintain the confidentiality of member’s record and health information by following HIPAA guidelines.
  • Actively participates in emergency preparedness (fire) drills/responses.
  • Develops an effective collaboration between clinical and administrative departments, and other affiliated services (inside/outside of the agency) to ensure an integrated approach to providing services.
  • RELIAS trainings must be up to date with agency.
  • Cross‑trained to support multiple client types and functions within the department such as Front office duties.
  • Perform special reports, assignments, projects, and other duties as assigned.
  • Minimum Qualifications:

    High school Diploma or GED required. At least six months related experience or training; or equivalent combination of education, training and experience in medical/health and/or behavioral health care delivery systems preferred. Customer service, clinic or center, or social service experience preferred, excellent communication skills, including ability to respond to callers/members with patience, objectivity and a nonjudgmental attitude. Demonstrated ability to problem‑solve and multi‑task.

    Ability to work well in a team, good interpersonal skills, and positive attitude. Ability to follow clinical and office protocols and procedures. Must maintain an Arizona level one (1) fingerprint clearance card.

    Cultural Competency &

    Skills:

    Must understand culturally competency and apply cultural competency principles to all services delivered. Skills necessary to engage and work with others from diverse ethnic and cultural groups. Ability to demonstrate efforts to comprehend the needs of Bilingual;
    English/Spanish speaking members.

    Conditions & Equipment:

    Position requires work to be done independently. Policies and procedures govern all decision making required by this position. Position involves interaction with community representatives, peers, managers, coordinators, and other Administrators. Working conditions include the responsibility of company equipment including operation includes computer, copy machine, postage meter, phone, and fax.
