Position SummaryThe Project Administrator provides comprehensive clerical and administrative support to the Reef Projects team at Deer Valley East Village. This role ensures the smooth day-to-day operation of the project office and site facilities, including coordination of supplies, scheduling, document control, vendor interaction, lunch ordering/pickup, and general office management.
The ideal candidate is highly organized, proactive, service-oriented, and comfortable supporting a dynamic project environment.
Responsibilities Office & Site Support- Manage daily operations of project office and trailers
- Coordinate physical setup and organization of office/trailer spaces
- Ensure cleanliness, organization, and functionality of shared spaces
- Coordinate installation and troubleshooting of office equipment as needed
- Provide clerical support to project leadership and team members
- Draft correspondence, meeting notes, and internal communications
- Maintain project calendars and assist with scheduling meetings
- Prepare presentations and basic reports as needed
- Maintain organized filing systems (digital and physical)
- Assist with document distribution and tracking
- Support compliance with Reef and client record retention policies
- Coordinate document collection for project closeout Vendor & Accounting Support
- Assist with processing invoices and expense documentation
- Coordinate with Reef accounting and suppliers to ensure proper documentation
- Track and organize purchase orders and receipts
- Maintain vendor contact lists
- Order office supplies, equipment, and materials
- Coordinate ordering and pickup of lunches or catering for meetings
- Track inventory of supplies and replenish as needed
- Manage delivery and receipt of packages
- Greet and assist visitors to the project site
- Coordinate meeting space setup and hospitality
- Support onboarding logistics for new team members (workspace setup, supplies, access coordination)
- Assist in implementing administrative procedures
- Support team training logistics when needed
- Provide backup administrative coverage as required
- Assist with project closeout documentation and organization
- 3+ years of administrative experience (construction or project-based environment preferred)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Comfortable working in a fast-paced, field-oriented environment
- Ability to maintain confidentiality and professionalism
