Position Summary

Momentous is seeking a highly organized, proactive, and people-oriented Executive Assistant to support two senior leaders: the SVP of Marketing and the VP of Culture & People. This role is critical to keeping the Marketing and People functions operating efficiently, aligned, and energized as Momentous scales.

The ideal candidate is a true business partner, not just an administrator—someone who anticipates needs, manages complex logistics, improves systems, and brings polish and warmth to everything they touch. This role blends executive support, project coordination, HR administration, and team culture enablement, with meaningful exposure to leadership, marketing operations, and people programs. They will act as a force multiplier for the SVP of Marketing and VP of Culture & People by proactively identifying opportunities to streamline workflows, improve communication, and protect leadership focus.

Responsibilities

Executive Support
  • Manage inboxes, calendars, and meeting scheduling, including responding to emails and maintaining calendar accuracy.
  • Handle travel booking, expenses, and reimbursements.
  • Track and prepare contracts and agreements for review.
  • Coordinate meeting follow‑ups, action items, and next steps.
  • Organize ambient notes (Google Docs, meeting notes, brainstorms) into clear, actionable updates with visibility across the marketing team and cross‑functionally.
  • Assist with building, formatting, and polishing slides and documents.
  • Support agenda creation and preparation for team meetings.
  • Manage executive and departmental expenses.
  • Scan and organize documents as needed.
  • Exercise sound judgment in prioritizing requests and making decisions on behalf of supported leaders when appropriate.
  • Own follow‑up and accountability for recurring leadership meetings, ensuring decisions are documented and actions are completed.
  • Translate complex discussions into clear summaries, updates, and next steps for broader team visibility.
HR Coordination
  • Support team culture initiatives including birthdays, anniversaries, celebrations, and marketing‑specific team‑building events.
  • Pulse‑check with the marketing team on needs, blockers, and opportunities to improve effectiveness; help translate insights into action.
  • Pilot, document, and help implement AI‑enabled tools and workflows to improve marketing and people operations efficiency.
  • Support Ninety audits including accountability chart, employee directory, and quarterly conversation reporting.
  • Manage onboarding and off‑boarding workflows, including account activation and shutdown.
  • Optimize Rippling (HRIS) flows and automations. Audit org chart accuracy, reporting structure, account status.
  • Support employee engagement initiatives including ENPS and Values Victor surveys and reporting.
  • Schedule 30‑, 60‑, and 90‑day check‑ins with new hires and their hiring managers.
  • Schedule late‑stage interviews and coordinate logistics.
  • Greet candidates on interview days and steward the candidate experience.
