New Jersey Brain & Spine is a fast-paced neurosurgery practice in northern New Jersey specializing in the operative and non-operative management of complex neurological conditions. We are seeking an organized, proactive, and patient-focused Surgical Coordinator to join our dynamic team!
Our providers offer specialized care in spinal surgery and medicine, neurovascular disease, movement disorders, pain and palliative neurosurgery, neuro-oncology, skull-base surgery, Chiari malformation and hydrocephalus, and pediatric neurosurgery.
Job DescriptionThe Surgical Coordinator plays a key role in supporting patients throughout their surgical journey. This position manages all aspects of preoperative and postoperative scheduling, communication, and coordination. The Surgical Coordinator works closely with surgeons, hospital surgical teams, insurance providers, and other healthcare offices to ensure timely surgical clearances, insurance authorizations, and overall surgical readiness. This is a high-responsibility, detail-oriented position that requires strong communication skills, exceptional follow-through, and the ability to multitask in a fast-paced environment.
Responsibilities- Coordinate and confirm surgical dates with patients, surgeons, and hospital operating room teams.
- Secure CPT codes from the billing department and communicate them to hospitals for scheduling.
- Complete insurance authorization requests, monitor approval status, track denials, submit appeals, and arrange peer-to-peer reviews when required.
- Request medical clearances and pre-admission testing; follow up to ensure all items are received and documented.
- Schedule pre-operative and post-operative appointments and arrange neuromonitoring when applicable.
- Ensure all necessary brace authorizations, equipment orders, and surgical logistics are in place prior to the procedure.
- Provide patients with detailed pre-surgical information, set expectations, and offer ongoing support throughout the surgical process.
- Monitor and respond to daily alert messages from surgeons, hospitals, and internal departments.
- Confirm all surgeries scheduled for the following day to ensure readiness and completion of required items.
- Collaborate with physicians, billing, the patient concierge team, and administrative departments to maintain seamless surgical coordination.
- We are currently implementing Surgi Mate; experience with Surgi Mate is a plus. This role will be an integral part of the implementation process.
- Associate’s degree in healthcare administration, medical office management, or a related field preferred.
- Prior experience in a medical office or surgical scheduling role strongly preferred.
- Highly organized with exceptional attention to detail.
- Ability to multitask effectively in a busy, fast-paced environment.
- Strong judgment, discretion, and professionalism.
- Excellent verbal and written communication skills.
- Comfortable coordinating with multiple stakeholders, hospital systems, and healthcare providers.
- Proficient in Electronic Health Record (EHR) systems; experience with ECW is a plus.
