Position Overview
A nationally recognized children's hospital is seeking an experienced Surgery Scheduler to support its Pediatric Otolaryngology (ENT) team during a maternity leave. This role serves as the primary point of coordination for surgical scheduling, authorizations, and family communication in a high-volume, detail-driven environment.
The ideal candidate is confident managing complex cases, proficient in EPIC surgical scheduling, and skilled at balancing multiple priorities while delivering compassionate service to pediatric families.
Assignment Details
- Pay Rate: $30.00–$32.00 per hour
- Schedule: Monday–Friday
- Hours: 7:00 AM – 4:30 PM
- Work Model: Hybrid (approx. 2 days onsite in Palo Alto / 3 days remote; days TBD)
- Duration: 3-month contract (potential for extension)
- Start Date: Mid-March
- Department: Surgery Scheduling – Pediatric ENT
- Location: Palo Alto, California
- Coordinate and schedule pediatric ENT surgeries across surgeons, anesthesia, operating rooms, and ancillary teams
- Manage complex surgical cases, ensuring all pre-operative requirements (imaging, labs, timing) are met
- Schedule ancillary services such as MRIs, labs, and pre-admission testing
- Verify insurance coverage and track prior authorizations to ensure surgical readiness
- Perform accurate case entry in EPIC, including CPT codes, procedure details, duration, and bed requests
- Collaborate with OR scheduling to optimize block utilization and surgical efficiency
- Communicate surgery details, preparation instructions, and follow-up information clearly to parents and caregivers
- Coordinate additional family support services (social work, transportation, housing, financial counseling) as needed
- Maintain complete and accurate documentation, consents, and patient records in EPIC
- Act as a key liaison between families, surgeons, OR teams, and external scheduling partners
- High School Diploma or GED
- Minimum 3 years of surgery scheduling experience
- Current hands-on experience with EPIC (surgical scheduling, case entry, patient coordination)
- Strong knowledge of insurance verification, prior authorizations, and surgical pre-op requirements
- Solid understanding of medical terminology and surgical procedures
- Ability to multitask, reprioritize quickly, and remain calm under pressure
- Excellent customer service and communication skills
- Compassionate, family-centered approach when working with pediatric patients
- Proven ability to thrive in a fast-paced clinical environment
