What You’ll Do
  • Serving as the primary point of contact for patients, managing front desk operations, and facilitating check‑in/check‑out processes.
  • Warmly greeting and assisting patients with inquiries regarding appointments, payments, and schedules.
  • Efficiently managing a multi‑line phone system, screening and routing calls, and taking messages for clinical staff and providers.
  • Ensuring all necessary patient verifications and authorizations are complete prior to appointments.
  • Coordinating with providers to align with their scheduling preferences and promptly addressing urgent patient needs.
  • Providing essential support to patients and medical professionals, utilizing reference materials and tools.
  • Performing various administrative tasks, including maintaining information databases and processing internal forms.
  • Operating telephone systems and electronic health record (EHR) systems proficiently to carry out assigned duties.
  • Consistently meeting or exceeding organizational and departmental service standards.
  • Responding to non‑clinical patient inquiries and messages, escalating as appropriate.
  • Managing the distribution of faxes, mail, and maintaining organized clinic‑specific documentation.
  • Scheduling patients efficiently based on reports and ensuring all scheduling records are current and accurate.
  • Meeting daily scheduling metrics and targets.
  • Facilitating requests for medical records.
What You’ll Bring

Education Qualifications
  • High School Diploma or GED.
Experience Qualifications
  • Proven experience in scheduling appointments within a high‑volume environment.
  • Demonstrated experience in patient relations and customer service.
  • Familiarity with requesting and coordinating medical records.
  • Experience coordinating with medical offices.
Required Knowledge, Skills, and Abilities (Must‑Haves)
  • A strong customer service mindset.
  • Exceptional organizational skills and attention to detail.
  • Excellent verbal and written communication skills, adaptable to various audiences.
  • Strong problem‑solving abilities and the capacity to manage multiple priorities effectively.
  • Proficiency in electronic health record (EHR) systems.
  • Technical proficiency with modern communication and productivity software, including general computer systems and Windows‑based office software.
  • Ability to maintain composure and effectiveness in stressful situations.
  • Strong time management skills and the ability to multitask.
  • A collaborative team player with strong adaptability.

The target hiring compensation range for this role is $35.06 to $38.96 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
