A Brief Overview

Under the direction of Leadership, the Staffing Specialist is responsible to facilitate and coordinate the daily staffing processes for the assigned departments/units to ensure that the appropriate staffing levels are achieved, maintained, and forecasted.

What You Will Do
  • Sets up Daily Staffing sheet for applicable departments/units and enters known schedule changes prior to staffing a shift.
  • Monitors and integrates staffing needs based on patient census, acuity information, or relevant organizational demographics.
  • Maintains accurate data entry of staff activity per shift and runs timekeeping reports as requested.
  • Allocates float personnel and supplemental staff to provide adequate coverage to designated departments or units.
  • Understands and adheres and orients staff to policies, procedures, wage and hour laws, and union contracts related to staffing, scheduling, and payroll.
  • Works in collaboration with the department or unit’s Lead, Charge, or Manager/Supervisor to meet the staffing needs of unit, region or department.
  • Identifies potential staffing shortages, communicates changes (sick calls, supplemental staff, A-days, etc.), and collaborates with appropriate Lead, Charge, or Manager/Supervisor.
  • Verifies list of employees scheduled to work based on computerized schedule against the department or unit’s Master Schedule.
  • Orients new staff to staffing processes and answers questions regarding timekeeping procedures, as necessary.
  • Accurately maintains a record of all pertinent scheduling data and provides authorized personnel with information needed.
  • Updates computer personnel database based on management communication and/ changes (e.g., new hires, transfers, terminations, etc.).
  • Checks and corrects timesheets for assigned departments/units.
  • Performs other duties and projects as assigned.
Qualifications
  • High school graduate required, higher education preferred
  • A minimum of one year recent experience in a health care setting in a clerical role, with proved organization skills and attention to detail preferred.
Required Knowledge,

Skills And Abilities
  • Performs all duties within the electronic scheduling and timekeeping system. Included but not limited to payroll compliance, various reporting, position control, agency/contingent worker onboarding, interpreting policies and procedures.
  • Participates in the performance of varied and responsible work in the administration and operation of specialized programs and projects.
  • Provides varied administrative and technical support to staff.
  • Updates position control and personnel skills data as requested.
  • Understands and adheres to policies, procedures, wage and hour laws, and union contracts related to staffing, scheduling, and payroll.
  • Ability to critically think and solve problems within a fast-paced environment.
  • Performs other duties and projects as assigned.
