A fast-growing tech startup in Palo Alto, CA is seeking a warm, organized, and proactive Office Manager to create a comfortable, productive, and engaging workplace for their team. This is a full-time, in-office position that offers the opportunity to shape team culture, oversee essential operations, and support leadership in a dynamic, startup environment. Responsibilities:
- Manage daily office functions, including opening and closing procedures
- Coordinate catered lunches, dinners, and snacks for the team
- Source, order, and maintain office supplies and equipment
- Manage vendor relationships, including contracts and payments
- Oversee office maintenance and troubleshoot facility issues
- Handle basic tech setup and coordinate with IT as needed
- Plan and execute fun and engaging team events (in-person and virtual)
- Assist with welcoming and onboarding new team members
- Help coordinate the company’s annual offsite
- Prepare meeting spaces and materials
- Support founders and leadership with administrative tasks
- Assist with improving the overall office atmosphere and layout
- Lead ad hoc administrative and operational projects as needed
- Coordinate quarterly U.S. visits for employees based in another country
- Book travel and housing for remote team members
- Support immigration documentation and compliance efforts
Qualifications:
- 2+ years of experience in office management, administration, or a similar role within a fast paced start-up environment.
- Proven ability to work independently and solve problems with minimal guidance
- Excellent organizational skills and keen attention to detail
- Warm, welcoming demeanor with strong interpersonal skills
- Event planning and team-building experience
- Comfortable in a fast-paced startup environment
- Self-starter mentality with anticipation for team needs
- Cultural awareness and respect for diversity
- Experience in a startup or tech setting
- Proficiency with Google Workspace, Microsoft Office, and productivity tools
- Basic financial literacy (budgeting, invoicing, expense tracking)
- Background in hospitality or customer service
$90K - $120K base salary range, equity and benefits
