Responsibilities

  • Greet and welcome visitors, ensuring a positive first impression of the company.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate person or department.
  • Maintain a tidy and organized reception area.
  • Handle incoming and outgoing mail and deliveries.
  • Manage activation and deactivation of employee badges.
  • Assist in executing workplace events and activities, including company meetings, celebrations, and wellness programs.
  • Monitor and maintain office supplies and equipment, placing orders as needed.
  • Support initiatives that enhance workplace culture and employee engagement.
  • Coordinate interview schedules and communicate with candidates and hiring managers.
  • Ensure a smooth and positive candidate experience throughout the interview process.
  • Handle confidential candidate information with discretion.
  • Assist with onboarding new employees, including preparing or shipping welcome kits.
  • Maintain and update employee records and databases.
  • Support HR administrative tasks as needed.
Experience & Skills
  • 3–5 years in a receptionist or office support role, preferably in a fast-paced, growing organization.
  • Experience working collaboratively with HR, Recruiting, and Facilities teams.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent verbal and written communication skills; able to communicate effectively with employees at all levels.
  • Polite, adaptable, dependable, professional, and proactive.
  • Ability to remain focused and productive during quiet periods and minimize personal device usage at the front desk.
Technical Skills
  • Proficiency in Microsoft Office Suite (Office
    365, Word, Excel, PowerPoint) and other relevant software.
Education
  • Bachelor’s degree preferred. Additional certification in office management, HR, or a related field is a plus.
Other Requirements
  • Ability to work onsite five days per week, starting at 8:00 AM.
  • Flexibility to work outside normal hours occasionally for company events.
  • Ability to lift and move items up to 25 lbs occasionally.
