Reporting to the Associate Dean for Student Affairs, the Registrar is a key, strategic position, responsible for course registration, maintenance of student records, examinations, and degree certification functions for the Law School and overseeing the day-to-day operations of the Registrar’s Office, including managing a team of three staff members.
The Registrar is responsible for creating and implementing academic policies and regulations regarding enrollment, class scheduling, examinations, grade reporting, and graduation for the Law School’s degree programs. The successful candidate is data-driven, values detail and accurate data, and views themselves as a technology leader in the Registrar space. The role requires maintaining a high degree of confidentiality in accordance with University policy and state and federal laws.
Specificduties
- Maintaining student records, including updates to the Law School records portion of the University’s People Soft database system or any future system; ensuring SLS student records are accurate on Stanford’s MAP system for graduation audits; preparing reports on student data.
- Overseeing the preparation of registration materials and the registration process, coordinating and overseeing examinations, and processing of grades; monitoring degree progress; certifying students for graduation and for bar examinations.
- Working closely with the Office of Student Affairs to ensure appropriate academic accommodations for students with disabilities; coordinating with University offices on issues related to the Registrar’s office.
- Actively participate with senior Law School leadership on the development of academic policy.
- Serve as a key policy administrator; design policies and establish procedures to ensure compliance.
- Work with the Associate Dean of Student Affairs to ensure that academic policies continue to comply with ABA Standards.
- Keep abreast of AI and technology trends and innovations and implement state-of-the-art technology, practices, and procedures in coordination with the Office of the University Registrar and senior Law School leadership; serve as the primary point of contact with vendors.
- Lead development of business practices, technology and other changes that may improve workflow and functionality, analyze current and future system needs.
- Act as a liaison between the Office of the University Registrar, ITSS (Information Technology Systems & Services) and the Law School to implement data system changes.
- Develop recommendations for the implementation and maintenance of technology applications, and identify, negotiate and manage relationships with outside vendors.
- Test all People Soft upgrades/enhancements and patches (or whatever future system may be used by the University).
- Evaluate database systems and develop procedures to support database changes and upgrades.
- Develop and maintain systems production calendar; create ad hoc reports with Brio Query and analyze reporting needs to support the Registrar’s Office and other Law School offices.
- Produce reliable, usable data for clients that is easily understood without further manipulation; be innovative in how the office collects, organizes, and utilizes data.
- Identify and resolve unique situations related to the People Soft system and the Law School, including reporting and troubleshooting; perform data clean-up tasks.
- Maintain quality assurance practices to ensure accurate, reliable, and timely reports; monitor academic data in People Soft.
- Supervise law student data in People Soft, Axess, Report Mart (Brio) and Law School database; assist in training staff in these systems; oversee and work with staff to maintain the Registrar website.
