Faculty Assistant II – Stanford Graduate School of Business
Stanford University is seeking a Faculty Assistant II to provide comprehensive administrative and operational support to GSB faculty. The assistant will prepare course materials, manage research documents, handle financial transactions, maintain web pages, and offer backup support for other FA members as needed.
Primary Responsibilities- Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
- Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors, creating budget requests, overseeing material production and distribution, coordinating logistics, and liaising with internal and external vendors.
- Write or edit communications; coordinate production (formatting, copying, etc.) and dissemination of documents, including presentations, course handouts, grant proposals, conference presentations, handout materials, complex reports, brochures, and displays.
- Plan and schedule calendars based on consultation, resolve conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
- Process and monitor financial transactions, including researching and resolving discrepancies.
- Serve as a point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report incidents or potential safety problems and track completion of required training.
- Maintain approved content on websites.
- Guide and train new staff and/or contingent workers by scheduling, assigning, and prioritizing workloads, setting deadlines, and reviewing work for quality and timeliness.
- High school diploma and minimum of three years of extensive administrative management experience, or a combination of education and relevant experience.
- Excellent customer service and interpersonal skills.
- Ability to adhere to strict timelines that coordinate with daily and quarterly academic calendars.
- Strong verbal and written communication skills.
- Ability to prioritize and multitask based on deadline requirements.
- Strong organizational skills (written/verbal) and strong attention to detail.
- Experience working effectively in team settings.
- Demonstrated success in following through and completing assigned tasks.
- Extensive administrative experience in an academic business school environment.
- Familiarity with academic customer‑service programs for faculty, students, alumni, visiting scholars, and university visitors.
- Successful work experience as an Administrative or Office Assistant in a high‑traffic customer‑service environment serving multiple faculty or managers.
The expected pay range for this position is $31.97 – $38.40 per hour. The final pay offered will be based on factors such as the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and market comparability.
