Office & Operations Manager

About  Max Ventures  At Max Ventures we don’t just run a coworking space.
We build  companies, investors, and communities.
From our hub in Palma we support founders, investors and ambitious professionals building meaningful businesses.
You will work  directly with the founder  and help run the ecosystem behind:
Pynn.ai
Angel Hive
Balearic Business Angels
Pitch events, founder meetups and investor gatherings
This role sits at the  center of everything .
Your Mission You will take ownership of  three core areas .
1️⃣ Finance & Administrative Operations Across  Spanish, UK and Dutch companies .
You will:

• Manage invoicing, direct debits & supplier payments

• Follow up on outstanding invoices

• Process payroll payments (“nóminas”)

• Upload quarterly invoices & documentation

• Coordinate with accountants and ensure tax compliance

• Manage multiple inboxes

• Handle operational requests from the founder
You are the  administrative backbone .
2️⃣ Coworking & Event Space Operations You make sure the space runs like a  premium boutique hub .

Responsibilities include:

• Keeping shared areas functional, stocked and welcoming

• Coordinating cleaning, maintenance and suppliers

• Supporting coworking members

• Managing FOB access & Verisure registrations

• Handling parcels, printing and logistics

• Preparing the office for events

• Helping grow occupancy of the event space
You are the  engine that keeps the space alive .
3️⃣ Marketing & Ecosystem Growth You help  tell the story of the ecosystem .
Across multiple ventures and events.

Responsibilities include:

• Managing marketing for  Pynn.ai, Angel Hive, Max Ventures and Balearic Business Angels

• Promoting  Pitch & Lunch events and founder gatherings

• Writing  press releases and blog articles

• Creating  Linked In posts, social media content and newsletters

• Producing  short videos, reels and clips  for You Tube, Tik Tok and Instagram

• Helping grow the visibility of founders, investors and the community
You are the  voice and amplifier of the ecosystem .
Who This Role Is Perfect For Someone who is:

• Fluent in  Spanish and English

• Highly  organized and detail-oriented

• Comfortable handling  many responsibilities at once
