Overview
Manages all administrative functions for the Service Manager. Responsible for providing administrative support to multiple assigned leadership, partnering with leadership in daily business activities and project coordination, while handling sensitive and confidential information in a professional proactive manner.
Responsibilities- Accurate and timely completion of routine daily, weekly, monthly tasks (payroll/time management, reports, internal control reporting, meeting scheduling/organizing/setup, etc.).
- Prepare correspondence, bills, statements, receipts, checks, purchase orders or other documents; ensure information is accurate, copied and saved for reference daily.
- Ensure that cash sale work orders are prepared correctly and delivered to the Service Manager or Shop Foreman for collection; process the payment and deposit and send to the Credit Department with a transmittal and deposit slip.
- Time sheets are processed daily and entered into the system; payroll sheets for the proceeding week are totaled, authorized, and sent to the Payroll Department each Monday.
- Assist with meeting preparation (documents, presentations, catering, etc.) for the leadership team.
- Maintain petty cash; ensure money is accounted for and kept secure; complete petty cash reports as necessary; obtain Service Manager sign-off and submit to Accounting.
- Assist employees and Human Resources in the administration of various insurance and benefit programs.
- Screen and route incoming calls and manage correspondence; ensure professional handling of all calls.

Education:
High School diploma or GED. - Experience: 1-2 years.
- Required/Credentials: Ability to comprehend written material and communicate effectively with employees and customers; proficiency with Microsoft Office; ability to retrieve, analyze and process data; data entry 35 WPM+.
- Updating of Knowledge: Job requirements change requiring retraining every 1-2 years.
- Problem Solving: Requires problem-solving ability with guidance not always available.
