Quality health care is provided to people living with HIV/AIDS (PLWH) or sexually transmitted diseases, support services are provided to HIV clients and their families, and prevention education and testing are provided to all clients, their families, and the community hin the community, we strive to prevent new infections of HIV and STI’s and reduce the stigma associated with these various diseases by promoting awareness, acceptance, and equality.

Position Overview

The Part B Quality Coordinator is responsible for ensuring the accuracy, consistency, and compliance of documentation and data entry for the Ryan White Part B program. This position plays a critical role in maintaining adherence to grant requirements by reviewing case management documentation, monitoring service entries, verifying required client records, and supporting data collection and reporting activities. This role ensures all required assessment and enrollment packets are current and approved prior to use by case managers and communicates any updates to forms or processes to applicable staff.

The Part B Quality Coordinator may also assist the Quality Assurance Manager with quality review and reporting activities related to the Ryan White Part C program and other grant‑funded services, as needed.

Duties/Responsibilities
  • Assemble, update, and maintain enrollment and service packets in accordance with Kentucky Department of Public Health (KDPH) guidelines and internal Support Services policies and procedures.
  • Review and monitor case management notes and service entries to ensure accuracy, completeness, and compliance with grant and agency requirements.
  • Verify data accuracy to support reliable reporting and audit readiness.
  • Identify documentation or data entry errors and provide clear, professional, and constructive feedback to staff.
  • Track and document errors to support the Quality Assurance Manager in identifying training needs and Continuous Quality Improvement (CQI) opportunities.
  • Access and utilize CAREWare and the KADAP portal to perform quality review and reporting functions.
  • Generate, analyze, and review Part B quality reports on a quarterly basis in accordance with grantor guidelines.
  • Submit required performance measure data to the Kentucky Department of Public Health on a quarterly basis.
  • Assist with data entry and quality review across multiple departments or grant programs as needed.
  • Support supervisors with grant‑related monitoring, reporting, and data requests.
  • Maintain organized, accurate records to support audits, monitoring visits, and reporting requirements.
  • Actively participate in CQI activities related to the Support Services Department and the Ryan White Part B program.
  • Provide limited support to Support Services Amenities staff, including assistance with client transportation, as needed.
  • Perform other duties as assigned.
Required Skills/Abilities
  • Heavily organized – Competence with MOS, particularly Excel, Strong communication skills, adaptable to changing needs and direction of grantors
  • Valid Driver’s License
  • Strong time management skills; ability to manage multiple priorities.
  • Knowledge of grant compliance requirements in healthcare or social services setting preferred.
  • Experience in quality control, compliance, data entry, or grant‑funded programs strongly preferred.
  • Strong attention to detail and ability to identify errors or inconsistencies.
  • Excellent written and verbal communication skills with ability to provide constructive feedback professionally.
Qualifications
  • High school diploma or equivalent required; bachelor’s degree in business Analytics, Data Science, or related field preferred.
  • Minimum of two years’ experience in quality control or related areas such as data entry or analytics
