Job SummaryJoan’s House, Inc. is seeking a highly organized and detail-oriented Intake & Case Coordination Specialist to support the operations of the Jobs Program through the Oneflow portal. This role is responsible for managing all new participant and employer entries into the program and ensuring a smooth, timely, and compliant intake process. The Intake & Case Coordination Specialist plays a critical role in internal coordination by accurately assigning and monitoring caseloads while serving as the first operational point of contact for applicants and employer partners.
ResponsibilitiesIntake Management & Coordination
- Manage and review all new participant and employer submissions received through the Oneflow portal.
- Ensure timely processing of intakes in alignment with program requirements and internal timelines.
- Serve as the initial operational contact for applicants and business partners entering the Jobs Program.
- Review, verify, approve, and track required intake and eligibility documentation.
- Maintain accurate and organized electronic records within Oneflow and internal tracking systems.
- Ensure documentation meets program standards and compliance requirements.
- Assign new cases to appropriate team members based on capacity and program needs.
- Monitor caseload distribution and workflow to support efficiency and balance.
- Communicate intake updates, caseload assignments, and changes to program staff.
- Provide administrative support to senior leadership and the organization as needed.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate staff.
- Assist with filing, photocopying, and other administrative tasks.
- Respond to intake-related inquiries from applicants, employers, and internal staff.
- Provide regular updates to program leadership regarding intake volume and workflow trends.
- Support continuous improvement of intake and case coordination processes.
- Associate’s or Bachelor’s degree in Human Services, Business Administration, Workforce Development, or a related field (or equivalent experience).
- Experience with CRM System and Data Entry.
- 1–2 years of experience in intake coordination, case management support, administrative operations, or workforce-related programs.
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with online portals, databases, and case management systems.
- Ability to manage sensitive information with professionalism and discretion.
- Ability to work collaboratively with a diverse group of individuals.
