In conjunction with the directorate triumvirate and the leadership team, the post holder will work across organisational boundaries to ensure appropriate services are in place and to deliver national and local strategic and operational service objectives and standards. You will be responsible for managing a large team of administrative staff; implementing change and improvements to the department. Attending and leading on various projects and supporting the directorate leadership team.

You will work with a wider range of professionals including clinician and non-clinical team members.

Responsibilities
  • The post holder is responsible for supporting the Directorate Manager (DM) within the Maternity Directorate with achieving all local access targets, and for providing assurance to the leadership team regarding the management of admin processes and patient pathways to meet all relevant standards and targets.
  • Working with the Access Team Leader & Ward Clerk team, lead on the development and integration of administrative procedures, processes and systems across Maternity services.
  • To be responsible for ensuring that systems are in place to achieve delivery of the Directorates KPIs, via the implementation of new processes and procedures and updating the DM on a regular basis.
  • To continuously monitor service capacity to ensure that it meets demand on patient pathways is met.
  • Working within the available resources and/or identifying additional resource implications and assist the Directorate Manager to develop appropriate service development plans as necessary.
  • Represent A&C workforce across Maternity at various departmental and trust meetings.
  • Undertake any further work related to business and workforce planning, as requested by the Directorate Manager. To support the Maternity leadership team, attending meetings and participating in the department's decision making process.
  • Contribute to the strategic planning of services within the Directorate, identifying future resourcing requirements and ensuring that the Directorate meets contractual and other requirements.
  • In line with Directorate and Trust strategy, develop best practice, service modernisation and improvement plan for the area, identifying gaps in current service provision to enhance the patient experience and deliver value for money.
  • Facilitate change within and across department and professional boundaries, monitoring action plans and ensuring they are completed.
  • The post holder is responsible for overseeing the day-to-day management of all waiting lists ensuring best practice is applied in line with national & local recommendations. To develop access plans for any patient at risk of breach, and ensure plans are communicated to and agreed with all relevant staff.
  • To be responsible for ensuring that systems are in place to achieve delivery of the Directorates patient access targets, via the implementation of new processes and procedures and updating the DM on at least a regular basis.
  • To assist the DM in preparing monthly activity and trend reports to enable accurate forecasting of performance against key financial, service and quality targets and standards. To attend directorate and divisional performance meetings where such metrics are presented and discussed.
  • Oversight of the Administrative and Clerical teams. Provide line management and support to the Patient Access Team Leader & Ward Clerk Coordinator ensuring procedures and office practices are effectively applied by all A&C staff across the areas.
  • Plan administrative workforce requirements in liaison with the Directorate Manager to ensure appropriate and equitable levels of administrative support in all areas while fostering a team approach to issues.
  • Manage the recruitment and induction process for administrative staff, raising Trac requests, establishment change forms, preparing job descriptions, personal specifications, writing advertisements, short listing and chairing the interview panel. Ensure that Trust policy is always followed during the recruitment process.
  • To manage and support management of staff in accordance with the Trust Human Resources policies and conditions of service, including sickness absence, staff training and Performance and Conduct. Ensure that processes are followed and workforce information is appropriately disseminated.
  • Ensure that all administrative staff have an annual appraisal and a personal development plan in accordance with Trust guidelines. Take personal responsibility for the appraisal and continuing personal development of the Team Leader.
  • Act as mediator and counsellor for all A&C staff to help resolve issues and problems.
  • Responsibility for managing the administrative budget for Maternity Services, ensuring financial balance and the effective use of resources, ensuring the Trust's policies and guidelines are adhered to at all times.
