Overview

Oxford Lifelong Learning in the Department for Continuing Education is seeking to appoint a Senior Course Administrator for International Politics and Oxford Experience, Portfolio 1, which is housed in the Department’s Professional and Open Access Courses section.

Responsibilities
  • Administer the International Politics Summer School, a two-week residential programme.
  • Assist in the administration and delivery of the Oxford Experience programme, a seven-week residential summer school and the largest summer programme offered by the Department.
  • Handle student enquiries, course bookings, liaise with host colleges, book field trips and transport, and work with tutors on the preparation and delivery of the programmes.

You will have significant experience of working in an office, with excellent administrative and event/course organisation skills, accuracy and attention to detail, and an ability to work collaboratively and flexibly within a team. You will have sound judgement and an ability to adhere to established procedures and protocols, which will allow you to work with minimal supervision, while seeking guidance as required.

Discretion and a professional and helpful manner in dealing with a wide range of people over the telephone, via email or in person are essential.

You must be competent in a range of MS Office applications and be willing to use technology to the fullest to reduce administrative processes. Some knowledge of the workings of the University of Oxford would be advantageous, as would knowledge of the city of Oxford.

The normal working hours are , Monday-Friday, with an hour for lunch each day. During the seven weeks in which the summer schools are running you will need to adjust your working week and work additional hours, normally all day on Sunday and Friday evening each week. Such hours will be paid as time off in lieu or in line with the University’s policy on overtime.

This is a full-time position, available on a permanent contract.

About you
  • You should have a solid background in student administration, with excellent organisational and time management skills.
  • You will be experienced in the preparation and delivery of residential summer schools for international participants, as well as short courses and other events, and will have considerable experience coordinating events in person and responding to queries by email, face-to-face and over the phone.
  • It is essential that you are comfortable interacting with a diverse range of people of all ages and nationalities. Experience with financial arrangements such as preparing course budgets is also essential.
  • Flexibility is important, as you may be required to take on additional administrative responsibilities related to course administration. Strong attention to detail, a collaborative working style, and the ability to manage multiple tasks efficiently are crucial.
