Location & Hours
Client will provide all necessary equipment to perform the role.
Location:
hybrid situation: half time on site at the Medical Complex Northwest C building, half time from home.
Work hours:
8‑5 with flexibility for either a one‑hour lunch or a 30‑minute lunch. If 30‑minute lunch, you either work 8‑4:30 or 8:30‑5 (alternate). 40 hours per week.
- The Recovery and Claims Services Administrative Assistants function as a departmental resource working on a wide variety of tasks and projects.
- Answer inbound call center telephone calls and perform additional tasks such as processing mail and faxes, entry and triage of multiple forms and reports, filing legal forms, sending out correspondence, setting up new cases, routing incoming documentation and correspondence, processing authorizations, and other tasks related to employee leave benefits and accommodations.
- Apply administrative assistant expertise to perform a variety of secretarial/clerical tasks.
- Ensure accuracy and completeness of all documents.
- Transcribe correspondence/documents; maintain calendars; schedule meetings; make travel arrangements; answer telephones and provide related follow‑through; create and maintain web pages and databases/spreadsheets; support departmental projects/activities as assigned; prepare reports, meeting agendas and minutes, and presentation materials; process reimbursement for travel and other professional expenses; and maintain electronic files and records.
- Routinely serve as a resource and mentor to others as opportunities arise.
- Demonstrate initiative, proficiency, and good judgment to optimize the time of those supported.
- Strong organizational and communication skills and a commitment to quality and excellence in service are important components of the role.
- Excellent application of grammar, punctuation, and English usage.
- Computer experience and proficiency with technical office equipment (computer, printer, dictation equipment, phone system, copier/fax machine, etc.).
- High‑level skill in organization, professional/customer service focus, interpersonal relations, excellent written and oral communication skills, and ability to prioritize and handle a variety of tasks simultaneously, including standard office practices and independent composition of letters.
- Good decision‑making and judgment as well as attention to detail and follow‑through.
- Ability to adapt to a rapidly changing environment.
- Typing skill of 60 WPM and experience with secretarial/clerical software is preferred.
Requires successful completion of a one- or two-year degree/diploma in an administrative assistant/secretarial field or a minimum of two years’ experience in a secretarial/administrative assistant role performing responsibilities such as managing calendars, supporting individuals, creating correspondence/reports/presentations, database/spreadsheet management, coordinating travel, etc.
