Position Summary

The Inventory Specialist - AIC Operations role plays a critical role in the centralized inventory and purchasing model supporting Bio Matrix Ambulatory Infusion Centers (AICs). This position ensures timely, accurate, and patient-centered procurement of medications, supplies, and infusion-related products across all AIC locations. Acting as the operational bridge between AIC clinical teams, Pharmacy, Trade, and Supply Chain, the Central Purchaser oversees consolidated ordering, inventory coordination, system accuracy, and compliance with organizational standards.

Individuals with experience in retail inventory management, pharmacy technician roles, or supply ordering within a healthcare setting may be particularly well suited for success in this role.


Key Responsibilities
  • Review upcoming patient schedules across all AIC sites to determine supply and medication needs.
  • Place centralized, consolidated orders for all AIC locations on designated purchase days, ensuring account accuracy and alignment with standard procedures.
  • Verify on-hand inventory levels with each AIC to prevent overstocking, stockouts, and redundant purchases.
  • Coordinate directly with Nurse Practitioners (NPs) and AIC leadership to confirm delivery timelines and address urgent or patient-specific needs.
  • Serve as the primary purchasing liaison between AICs, Pharmacy, and the Supply Chain/Trade teams.
  • Maintain clear visibility into inventory levels at all AICs by monitoring NP-reported receipts, usage logs, and system updates.
  • Partner with AIC staff to ensure accurate logging of drug receipts, usage, and returns to maintain data integrity.
  • Support centralized reporting of inventory metrics, usage patterns, and refill needs.
  • Prevent duplicative or off-account orders by reviewing system data and adhering to standardized purchasing workflows.
  • Coordinate with Pharmacy and AIC teams to follow established processes for Buy and Bill and Clear Bag orders.
  • Ensure appropriate documentation, compliance, and communication related to billing accuracy and reconciliation requirements.
  • Serve as a key operational link for order verification, change notifications, and real-time status tracking associated with these workflows.
  • Utilize the update instance of WeInfuse to access scheduling data, automate ordering workflows, and maintain real-time inventory insight.
  • Use E-Order functionality within WeInfuse to eliminate duplicate entry between WeInfuse and ABC Order systems.
  • Maintain accuracy of item master data, account assignments, and order routing within relevant platforms.
  • Participate in system updates, training sessions, and feedback loops to enhance user adoption and workflow efficiency.
  • Follow all centralized processes for purchasing, escalation, and new drug or supply requests.
  • Ensure new medication items are routed through the P&T Committee and properly added to Caretend before purchase.
  • Support maintenance and updates of the Procurement Grid, working collaboratively with the Inventory team and Director.
  • Adhere to standardized terminology, data conventions, and process language established across Purchasing and Inventory teams.
Communication, Collaboration & Culture-Building
  • Communicate proactively with NPs, AIC managers, pharmacists, Trade partners, and Inventory leadership to ensure smooth operations.
  • Reinforce the project's "common language," strategy, and the Why behind centralized inventory decisions.
  • Participate in training, education sessions, and continuous improvement activities across the purchasing and inventory work streams.
  • Model a patient-centered approach to operational decision-making.
Qualifications

Education
  • High school diploma required;
    Associate's or Bachelor's degree in healthcare, business, supply chain, or related field preferred.
Experience
  • 2-4 years of experience in medical purchasing, inventory coordination, AIC or infusion center operations, specialty pharmacy, or similar clinical supply chain environment.
