This is not a passive front desk position. It is a high‑visibility, high‑interaction role that requires emotional intelligence, strong organization, and the ability to pivot quickly throughout the day.
Position OverviewThe Director of First Impressions is the first point of contact for clients, visitors, and team members. This individual manages a steady flow of phone calls, in‑person interactions, scheduling needs, and tax‑season document processing while maintaining professionalism and composure.
During peak tax season (January–April), the pace increases significantly. The environment becomes interruption‑heavy, and priorities may shift frequently throughout the day. The person in this role must be comfortable managing multiple demands while maintaining a welcoming and solution‑oriented demeanor.
This role works closely with tax professionals, administrative staff, and leadership to ensure smooth daily operations and timely client support.
What a Typical Day May Include- Greeting and assisting clients and visitors in a professional, warm manner
- Managing a multi‑line phone system with frequent inbound calls
- Fielding questions and routing inquiries appropriately
- Coordinating conference room scheduling and departmental calendars
- Scanning, organizing, and routing client tax documents
- Tracking receipt of information and following up with clients as needed
- Supporting tax professionals with administrative and document‑processing tasks
- Maintaining an organized and professional reception area
- Managing competing priorities while responding to ongoing interruptions
This position is best suited for someone who:

Required:
- 3+ years of recent office or administrative experience
- Strong proficiency in Microsoft Office (Word, Excel, Outlook)
- Curiosity around technologies that strengthen customer service
- Excellent verbal and written communication skills
- Demonstrated ability to manage multiple tasks simultaneously
- Proven reliability and strong attention to detail
Preferred:
- Client‑facing or customer service experience
- Experience in accounting, legal, medical, or other professional services environments
- Experience supporting document‑heavy or deadline‑driven work
- Full‑time, Monday–Friday, 8:00 AM–5:00 PM
- In‑office position
- Increased pace and workload during tax season (January–April)
This role requires consistent presence and dependability. Because this position supports daily operations and client interaction, regular and punctual attendance is essential.
