About Us
Crown Town Restoration is a growing exterior construction company specializing in roofing and restoration services. We’re known for quality work, strong customer relationships, and organized processes. As we continue to grow, we’re looking for an Operations Coordinator to help keep our internal systems, documentation, and day-to-day operations running smoothly.
This role is ideal for someone who is highly organized, detail-oriented, and enjoys wearing multiple hats in a fast-paced environment.
Position OverviewThe Operations Coordinator supports the daily operational and administrative functions of the business. This role works closely with ownership, sales, and field teams to coordinate job tracking, documentation, compliance, follow-ups, and internal systems. This is a non-managerial, execution-focused role with room to grow as the company scales.
Key Responsibilities- Track job budgets, labor, materials, invoices, and job progress updates
- Coordinate customer, lead, and insurance follow-ups
- Handle permit applications, license renewals, and compliance tracking
- Assist with accounts receivable, including tracking outstanding invoices, payment follow-ups, and documentation coordination
- Manage subcontractor and employee onboarding documentation
- Track certificates of insurance (COIs), workers comp, and general liability items
- Process deposits, track checks, and assist with basic financial documentation
- Maintain organized digital and physical job files
- Answer incoming phone calls and route inquiries appropriately
- Assist with office supply, apparel, and materials purchasing
- Support marketing and online presence (Google Business Profile updates, review responses, basic Canva tasks)
- Coordinate technology systems and business platforms (CRM, Apple Business Manager, job software)
- Assist with audits, rebates, warranties, and vendor documentation
- Support additional administrative and operations duties as needed
- 2+ years experience in an administrative, operations, or coordination role
- Construction, restoration, or trades experience is a strong plus
- Highly organized with strong attention to detail
- Comfortable juggling multiple priorities and deadlines
- Strong written and verbal communication skills
- Confident using technology, cloud-based tools, and CRMs
- Self-starter who follows systems and helps improve them
- Reliable, professional, and solution-oriented
