Events Specialist

Giatec Scientific Inc. (Giatec) is looking for a passionate and highly organized Events Specialist to join our Marketing Team and create seamless high-impact event experience across trade shows, roadshows, conferences, webinars, and corporate events, including all digital and physical content and delivery aspects.

The Events Specialist is responsible for assisting in the end-to-end successful coordination and execution of events that generate high-quality leads, drive brand awareness, and deliver exceptional stakeholder experiences. This position works directly with internal teams and vendors with a warm, friendly attitude. The ideal candidate thrives in a fast-paced environment, has strong project management skills, and brings experience in B2B event marketing.

The expected salary range for this role is between $45,. This role represents an existing vacancy within the organization.

• Coordination of trade shows booths including event planning, completing event contracts, logistics, and production of collateral
• Develop, maintain and update event software, databases, and shared documents, ensuring all team members have visibility into goals and success metrics for each event
• Support cross-functional alignment between Sales and Marketing teams pre-, during, and post-event
• Track performance metrics and evaluate ROI to continuously improve event strategy
• Build strong relationships with event organizers, vendors, sponsors, and service providers and act as primary contact for all event-related services and requests
• Develop and coordinate promotional materials and campaigns, booth assets, branded giveaways, collateral and presentation materials
• Research events, attendees, sponsors, and competitors
• Coordinating travel and accommodation arrangements for team members
• Organization and submission of tradeshow related expenses
• Webinar planning and execution, pre-, during, and post-webinar
• Podcast outreach, scheduling, research, production, editing, and publishing
• Maintenance of the events, podcast, and webinar web pages
• Other events and marketing tasks as required.

• One (1) to three (3) years of B2B tradeshow/event planning and management experience
• Bachelor’s degree or certificate in event planning, business, marketing, communications, or a related field
• Strong project management and organizational skills
• Strong written and oral communication abilities
• Highly organized and detail oriented
• Proven ability to manage multiple events and deadlines simultaneously
• Self-motivated independent worker, with the ability to take direction and meet tight deadlines
• Learning mindset, eager to learn and grow in a fast-paced environment
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Outlook), and AI tools
• Experience with Adobe Creative Cloud is an asset
• Experience with database management and Power BI is an asset
• Experience with Hub Spot, Salesforce, or similar CRM tools is an asset
• Availability to travel internationally
