As a key position within the Marketing team, the Travel Media Relations Coordinator reports to the Senior Manager, Travel Media Relations. The incumbent assists with coordinating media experience support, itinerary coordination and department project coordination.

This position is based out of the Ottawa Tourism offices in beautiful downtown Ottawa. Ottawa Tourism employs a hybrid work model, with the ability for all employees to work remotely. In some cases, certain positions will have an ongoing requirement to maintain a physical presence in the office. Such details will be discussed during the application process.

Key Competencies
  • The ability to effectively communicate with media personnel, colleagues, and external stakeholders both verbally and in writing is essential.
  • Strong organizational skills are necessary to manage multiple tasks, bookings, and itineraries simultaneously. The coordinator should be able to prioritize tasks, meet deadlines, and maintain meticulous records.
  • Detail-oriented ensuring accuracy in bookings, itineraries, and database management.
  • The ability to manage time and prioritize tasks is essential in a fast-paced environment.
  • Enhance the quality and output of itineraries, projects, and media interactions.
Primary Areas of Responsibility
  • Inquiry Monitoring:
    Assist in monitoring and managing inquiries from media outlets, journalists, and influencers. This includes promptly responding to inquiries and providing necessary information. i.e. Answering questions, fact checking, supplying approved media/B-roll from internal databases and connecting to the appropriate organization contact if necessary.
  • Media Experience Support:
    Support the travel media team throughout the entire media experience, from soliciting to proposing itineraries, making bookings, hosting, and following up with media personnel and cataloging produced media within our databases.
  • Working closely with our 3rd party Media Relations Public Relations support teams as required.
  • Identifying department opportunities to work collaboratively, cohesively and more effectively internally, with other departments and externally with stakeholders and partners.
  • Booking and Itinerary Assistance:
    Provide support in booking accommodations, transportation, and activities for media visits. Assist in crafting engaging and comprehensive itineraries tailored to media needs and preferences.
  • Production Logistics:
    Support the logistics of our shows, including scheduling interviews, coordinating with guests or hosts, managing recording sessions, and assisting in post-production tasks.
  • Database Management:
    Help maintain and update our media database, ensuring accuracy and completeness of contact information, preferences, and past interactions.
  • Project Coordination:
    Administrative coordination of current and future projects the team works on internally or with external partners.
  • Producing media relations tools and resources as required (i.e. media toolkits/webpages etc.).
Desired Qualifications
  • Post-secondary education in communications, journalism, marketing, hospitality, media or related field
  • Experience working with or in traditional media
  • Excels at working in a fast-paced environment independently or within a group setting with a team player mindset
  • Willingness to contribute creative outside of the box thinking and suggestions.
  • Strong organizational skills, project management experience and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and Google
  • Ability to multitask and prioritize tasks effectively.
