- Developing, implementing and maintaining policies and procedures for the entire lifecycle of Information Technology (IT) Assets (from acquisition to use to maintenance and retirement and disposal of the assets).
- Monitoring software deployment and identifying and remediating non‑compliance with the IT Asset Management program governance.
- Collaborating with cross‑functional teams to improve asset management in the everyday tasks of employees, through server builds, application deployment, vulnerability management, and research use.
- Identifying potential risks impacting IT Assets, including but not limited to licensing obligations and asset conditions.
- Vendor Management and Software Purchases/ Licensing.
- Developing and maintaining relationships with vendors to stay informed on changes in licensing models, costs, compliance requirements and development roadmaps.
- Continuously assessing business needs and usage of software, ensuring only needed software and hardware are maintained, and planning purchases and renewals, allowing sufficient time for exploring alternate options, including possible Request for Proposals (RFPs), and negotiations.
- Supporting the negotiation of larger and more sensitive agreements with vendors and assisting the team with all other transactions, striving to obtain the best possible terms.
- Asset Lifecycle Management.
- Developing and implementing a process to maintain an inventory of all IT assets, performing a regular accounting of their location, ownership, usage and physical condition.
- Developing and supporting the implementation of maintenance plans for hardware and software assets, engaging all departments to ensure that maintenance activities are routinely incorporated into day‑to‑day operations, such as server builds, computer deployments, or capital projects.
- Maintaining an Asset Management plan to inform investments in a state of readiness to take advantage of short‑ and long‑term funding opportunities that would advance the management and maintenance of IT Assets.
- Establishing and monitoring key performance indicators to track the health of IT Assets and the Asset Management program.
- Continuously analyzing data and reporting on assets to inform departments on the state of IT Assets, including recommendations for action, in the form of briefing notes, presentations, business cases or others.
- Participating in enterprise strategy development, including environmental analysis, opportunity identification, value cases and business innovation portfolio development.
- Consulting with business‑facing projects and maintaining knowledge of their progress.
- Other duties as assigned by your manager.
- Bachelor's degree.
- IT Asset Management certification is desired.
- A minimum of 5 years of IT experience, and preferred 2 years in an IT asset management capacity; or a minimum of 7 years in an asset management capacity.
- Proven experience developing policies, procedures, risk assessments, and compliance management.
- Experience participating in the implementation of a recognized industry standard or framework (ISO 27001, ISO 55001, ITIL) is an asset.
- Excellent analytical, problem‑solving, and decision‑making skills, with the ability to prioritize and manage multiple tasks in a fast‑paced environment.
- Strong communication and interpersonal skills, with the ability to build relationships, especially with vendors, to establish and maintain a strong negotiating position for licensing and purchase agreements.
