The Recruiting and Onboarding Coordinator supports the full-cycle hiring and new hire onboarding experience by coordinating interviews, managing hiring logistics, and ensuring new employees are set up for success from day one. This role is critical to delivering a smooth, consistent, and positive experience for candidates and employees alike.

You will work closely with recruiters, hiring managers, the HR and IT teams to support recruiting operations, onboarding execution, and core HR administration. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, multi-stakeholder environment.

What You Will Do

Recruitment & Onboarding (80%)

  • Partner with hiring managers and recruiters to support job postings, interview scheduling, and candidate communications.
  • Coordinate interviews across multiple time zones and stakeholders, ensuring timely and professional candidate experiences.
  • Conduct initial screening calls for selected roles while maintaining a consistent and engaging candidate experience.
  • Track candidate pipelines, interview feedback, and hiring activity to ensure timely follow-up and documentation.
  • Maintain data accuracy within the Applicant Tracking System (ATS) and support ongoing process improvements.
  • Assist with the offer process, including preparation of offer letters and coordination of background checks and pre-employment requirements.
  • Contribute to a strong employer brand by delivering a smooth, well-organized, and positive candidate journey.
  • Partner with HR and IT teams to coordinate new hire logistics, including documentation, HRIS setup, equipment, and systems access.
  • Conduct new hire orientation sessions and support first-day onboarding activities.
  • Prepare and maintain onboarding checklists, training schedules, and systems access documentation.
  • Assist with coordinating offboarding activities, including equipment returns, systems access removal, final documentation, and exit interview scheduling.
  • Ensure compliance with employment documentation and onboarding/offboarding processes across multiple jurisdictions (CA, US, UK).

HR Administration & Project Support (20%)

  • Maintain accurate HRIS data for employee lifecycle events, including new hires, transfers, promotions, leaves, and personal data updates.
  • Create, maintain, and audit employee files and compliance documentation.
  • Support employee engagement initiatives, All-Hands meetings, and ad hoc HR projects.
  • Support audits, data clean-up, and continuous improvement of HR processes and workflows.
  • Provide general administrative and project support to the HR and Payroll teams as needed.
