Summary
Under the supervision of the Director, Research and Ethics Office, the Scholarships and Research Officer is responsible for the full management of student scholarship programs and faculty grant programs. The incumbent also provides administrative support to the office and promotes research activities to various audiences.
Key Responsibilities
Student Scholarships
Advise and support students in applying for internal and external scholarships, providing strategic guidance and constructive feedback.Manage the full application cycle (receipt, evaluation, committee review, coordination of meetings, and follow-up on decisions).Oversee the awarding, administrative follow-up, and disbursement of scholarships in accordance with established timelines.Maintain up-to-date records of scholarship recipients, organize Scholarship Committee meetings, and draft meeting minutes.Coordinate the submission of applications to external funding agencies, respond to inquiries, and ensure appropriate follow-up.Compile data on awarded scholarships and identify new funding opportunities relevant to the university’s areas of expertise.Administrative and Financial Oversight – Research and Ethics
Manage research assistantships: monitor job postings and prepare contracts in collaboration with Human Resources.Contribute to research-related analyses, reporting, and preparation of the annual research report.Provide administrative support for internal and external grant applications, as well as ethics approval processes.Input data into research management systems and monitor the financial status of scholarships and grants.Perform other administrative or financial tasks as requested by the supervisor.Promotion of Scholarship and Research Activities
Develop, write, and distribute information about scholarship and grant programs.Organize information sessions for students and equip them to submit high-quality applications.Maintain relationships with funding agencies and stay up to date on their policies and guidelines.Collaborate with academic units to promote research.Education, Experience, Knowledge and
Abilities
College diploma or university degree in administration, or equivalent experience.Minimum of 2 years of relevant experience in an administrative role, preferably in scholarship or grant management, or in an academic setting.Demonstrated experience in designing and delivering workshops.Experience in planning and coordinating projects or activities.Experience in customer service or in supporting funding or research programs is an asset.Excellent written and verbal communication skills in both French and English.Ability to quickly understand the requirements of funding programs.Strong organizational skills with the ability to manage multiple priorities, work under pressure, and handle a high volume of files with precision.Autonomy, initiative, and a strong sense of responsibility.Team player with professionalism, tact, and diplomacy.Ability to integrate quickly into the workplace and take on responsibilities independently.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and online collaboration tools (e.g., SharePoint, Teams).Knowledge of administrative processes and database management.Familiarity with information…
