The Ottawa Food Bank is seeking a dedicated and professional Coordinator, Office Administration to support its mission of providing nutritious food to individuals and families experiencing food insecurity across the city. As a central hub for emergency food distribution, the Ottawa Food Bank works closely with member agencies, community partners, donors, volunteers, and the public to ensure that people facing hunger can access essential services with dignity and respect.
This position plays a vital role in maintaining a welcoming, supportive, and efficiently operated environment for all who visit or contact the organization. Serving as the first point of contact for visitors, callers, clients, volunteers, and donors, the Coordinator represents the organization with warmth, compassion, and professionalism.
In addition to frontline engagement, this role is essential to the smooth daily operations of the Ottawa Food Bank’s main office. It encompasses client support, reception services, administrative coordination, volunteer engagement, and facilities‑related support. The ideal candidate will demonstrate strong interpersonal skills, sound judgment, and the ability to navigate a wide range of situations with empathy, tact, and calm under pressure.
ABOUTUS
The Ottawa Food Bank is the leading emergency food provider in the National Capital Region, supporting a network of nearly 100 community food programs. Each year, we respond to more than 556,000 visits, of which 37% are children, reflecting the ongoing and urgent need across our community.
Through the generosity of our donors, partners, and volunteers, we distribute approximately 8.3 million pounds of food annually, ensuring equitable access to nutritious food for individuals and families facing food insecurity throughout Ottawa.
SUMMARYReporting to the Manager, Administration and IT, the Coordinator, Office Administration serves as the first point of contact for in‑person visitors and callers inquiries. This position provides accurate information and professional assistance to callers and visitors, including donors, volunteers, staff, contractors, and clients. The Coordinator supports call‑in and walk‑in community members seeking food bank assistance, by offering them guidance on available food programs and services.
Using a trauma‑informed and client‑centered approach, they assess unique needs, provide appropriate referrals, and ensure individuals feel supported and respected.
In addition, the Coordinator, Office Administration plays an important role in maintaining the smooth and efficient daily operations of the Ottawa Food Bank office. They provide administrative support to staff, assist with office processes, and contribute to various administrative projects. This role requires strong problem‑solving abilities, sound judgement, and the capacity to respond professionally, empathetically, and adaptively to a wide range of situations involving clients, volunteers, and visitors.
MAJORRESPONSIBILITIES Reception
- Greets and directs visitors, donors, volunteers, staff, contractors, and walk‑in clients in a professional and friendly manner.
- Answers incoming telephone calls and responds to inquiries in a pleasant, patient, and professional manner.
- Monitors the general email inbox and responds to inquiries in a professional manner, or routes emails to staff members based on triage documentation.
- Ensures continuous and reliable coverage of the reception desk during all operating hours, coordinating scheduling and relief with volunteers and staff members as required.
- Ensures accurate printed materials are kept ready at reception.
- Distributes and collects visitor and volunteer passes, guest key cards for contractors and other keys as needed.
