Position OverviewWe are seeking a highly organized, proactive, and detail-oriented Personal/Executive Assistant to support the CEO. The ideal candidate is a resourceful and dependable professional who thrives in a fast-paced environment and can confidently manage both executive-level business responsibilities and personal administrative matters with discretion, professionalism, and efficiency.
Key Responsibilities- Manage and organize the CEO’s email inbox; draft and respond to emails in a clear, professional manner.
- Coordinate and schedule meetings, appointments, and work-related events
- Book travel arrangements, including hotels and transportation
- Submit and organize receipts and expense reports for accounting
- Assist with personal banking and financial organization
- Liaise with household vendors (e.g., cleaners and other service providers)
- Support personal matters such as organizing documentation (e.g., estate planning coordination)
- Answer and manage phone calls on behalf of the CEO in a professional manner
- Track tasks, projects, and follow-ups to ensure completion
- Provide Excel-based reporting, basic financial tracking, and data organization
- Assist with problem-solving and operational coordination as needed
- 3–5 years of experience as an Executive Assistant or in a similar high-level administrative role
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills with excellent spelling and grammar
- Advanced computer proficiency, including strong Microsoft Excel skills
- Comfortable working with numbers, basic math, and financial tracking
- Strong problem-solving abilities with a “finish what you start” mindset
- Ability to handle confidential information with discretion and professionalism
- Self-motivated, dependable, and capable of working independently
- Willingness to occasionally work after hours when required
