Position: Bilingual Legal Assistant - Permanent - 18719
About the Opportunity
Our client is a law firm, located in downtown Ottawa. They are looking for an experienced, and fluently bilingual, legal assistant to join their team on a full-time, permanent basis.
Duties include but are not limited to:
Perform clerical, administrative and general office duties for the Ottawa lawyers as requested and assigned by the Ottawa Office AdministratorCommunicate with peers and clients to schedule appointments, hearings, arbitrations, meetings etc. and coordinate arrangements for lawyers’ attendance requirementsReceive incoming mail and redirect, prioritize and record deadlinesOrganize and expedite the flow of work through the lawyers’ officesCreate, type, format, review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usageAssist in the preparation and formatting of legal documentsPrepare forms according to general instructions and/or precedents, and accompanying documentationArrange for proper service and filing of court pleadingsMake travel arrangements, including booking flights, hotels, vehicle rental, etc.Arrange for timely payment of invoices, complete expense reports, prepare file status reports, work-in-progress reports and pre-billsSet up and maintain filing systems, utilizing knowledge of legal records and procedures (including a tickler system)Enter student/lawyer dockets into accounting software (French and/or English)Follow proper file closure procedures, coordinate file closingsPerform any other related assistant duties as requiredAbout YouThe successful candidate will have the following:
Strong set of technical skills which include, but are not limited to, the Rules of Civil Procedure, court filing procedures and time limitationsMust be able to prioritize, meet deadlines and adapt to frequently and rapidly changing prioritiesDemonstrates competence and effective communication (written and orally) as well as proper grammar, spelling and punctuation in French and EnglishStrong attention to detail, and excellent proofreading skills in French and EnglishHighly organizedDemonstrates discretion and effectively manages confidential informationComfortable working with other assistants in managing shared files between multiple lawyersEffectively works in a team environment or independently, as the situation requiresWorking knowledge of legal office administration through the completion of an office procedures course, or related experienceWorking knowledge of Word, Adobe Pro, Excel, and Outlook, Net Docs, PowerPoint and Tikit an assetFlexible, respectful, honest and trustworthyDemonstrates sound work ethicAbout the JobSalary will fall within the $50,000 to $70,000/year range, depending on experience. Benefits and a hybrid work arrangement will be offered.
