Bilingual Events & Sponsorship Officer - Contract
The role is a 6‑month contract with a non‑profit event team in Ottawa. The successful candidate will support webinar, virtual and in‑person event coordination, ensuring a seamless experience for internal teams, speakers, sponsors and exhibitors.
Duties- Review event intake forms, follow up for missing information and update records; draft French translation content and coordinate translations with external translators; collect speaker biographies and photos; create Microsoft Teams meetings/webinars and calendar invitations; share completed event intake forms with relevant teams and flag high‑priority submissions; track deadlines and send reminders for newsletter submissions, promotional timelines, and other materials; coordinate post‑event evaluations and follow‑up communications.
- Coordinate catering requirements and serve as on‑site catering liaison; support procurement and setup of conference signage, working with graphic designer; communicate with sponsors and exhibitors to confirm participation and coordinate deliverables; provide on‑site support for exhibitors and sponsors, including setup, teardown, and floor plan coordination; assist with virtual conference components and event management platform; serve as primary on‑site contact for sponsors and exhibitors;
provide general on‑site support as required by the Events team.
- Post‑secondary education in event management, communications, business administration, or related field, or equivalent experience.
- Experience planning and delivering complex virtual, hybrid, and in‑person events.
- Experience with stakeholder engagement and event sponsorship is an asset.
- Strong organizational, planning, and multitasking skills with attention to detail.
- Excellent written and verbal communication skills in English and French.
- Customer‑service oriented; able to work professionally with internal and external stakeholders.
- Comfortable working independently and collaboratively.
- Proficient with Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook, Teams, Planner).
- Experience with meeting platforms (Zoom, Teams), event management platforms (Pheedloop an asset), and CRMs (Dynamics 365 an asset).
- Must possess or be eligible for enhanced security clearance.

Hybrid – required in‑office presence 3 days per week, flexible schedule. - Duration: 6 months, ideally starting ASAP.
- Hours:
37.5 hours/week (Monday to Friday, flexible within normal business hours, with occasional after‑hours or weekend work leading up to the event in June). - Hourly Pay: $25.64 – $30.77.
