SummaryThe Vendor Support Coordinator will act at the primary contact for any vendor support inquiries for all projects and pursuits associated with Clearway Construction. The Vendor Support Coordinator will be the liaison between vendors and the estimating team, ensuring accurate and up to date vendor information and supporting project needs. This role oversees multiple inboxes, assists with procurement quality, and organizes digital records.
The Vendor Support Coordinator will ensure smooth vendor interactions and will support project closeouts while completing additional tasks as needed by senior management.
The Vendor Support Coordinator will report directly to the Manager, Preconstruction Services.
This position will be a 16-month contract role to cover a maternity leave.
Location:
Clearway's Head Office – Maple, ON.
Hours of Operations: 8:00 am to 5:00 pm (EST)
Essential Duties & Responsibilities- Maintain the vendor list by entering new customer information including updates as required.
- Supporting Estimators with Vendor requests by creating new project in third-party software, including but not limited to changes and vendor information.
- Assist with uploading and distributing project changes to department and vendors.
- Coordinate department meetings and accurately maintain meeting minutes.
- Manage multiple email inboxes and re-directing or escalating as necessary.
- Updating and making necessary changes to the vendor solicitation portal to reflect current information and data.
- Manage estimating projects including but not limited to: downloading addendums and updating project date changes.
- Providing the Pre-Construction Administrative Supervisor with report on engagement for each awardable project.
- Act as the primary contact for vendor support.
- Manage and procure standard pricing.
- Assist with the scope assignment process management.
- Contribute to procurement quality and related tasks.
- Contact Vendors to obtain missing information or answer any queries.
- Managing and organizing any records with digital and physical filing.
- Creating new project folders while maintaining accurate document control.
- Support the Estimating department with project closeout.
- Complete additional assignments and responsibilities as requested by Senior Management.
- High School Diploma
- At least 2 years of experience in administrative role required
- At least 1 years in Sales, preferred
- Proficiency in Excel, Outlook, Microsoft Word, Power Point
- Excellent computer skills, prepare and track correspondence, charts, tables, graphics, spreadsheets
- Organizational and analytical skills
- Have excellent communication skills
- Able to work productively with minimum supervision
- Professional demeanor and customer care oriented
- Proficient in written and oral English with strong interpersonal and communication skills.
- Must be legally eligible to work in Canada – no work permit sponsorship is available for this position

$50,000 - $60,000 (CAD)
