Health Records Technician 1 (HRT1) – Full Time – Non‑Permanent – Washington Soldiers Home – This is an exciting opportunity to work as a Health Records Technician 1 at the Washington Soldiers Home in scenic Orting, Washington.

Homes 24/7 facility differential: Updated as of July 1, 2025:
This position is eligible for "Supplement Basic Shift Premium" for 24/7 Facilities. Employees who are assigned to a facility that provides direct care to residents, patients, and/or clients and whose duties are required to be performed on location will receive an additional one dollar ($1.00) per hour of supplemental basic shift premium for each hour of basic shift premium. This shift premium does not apply to overtime hours.

The supplemental basic shift premium shall expire on June 29, 2027.

This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step, in alignment with state HR compensation rules.

Please note: The work schedule will be Monday through Friday, 8:00 am to 4:30 pm. This position is expected to last less than 6 months.

At the Washington State Department of Veterans Affairs (WDVA), we are passionate about our mission of “Serving Those Who Served.” We strive to connect veterans and their families to earned benefits and innovative programs focused on health and wellness, and we provide critical community services through a variety of programs at our four State Veterans Homes located in Orting, Port Orchard, Spokane, and Walla Walla.

These locations provide Medicare and Medicaid nursing home care to veterans, including, in some instances, their spouses, widows, or Gold Star.

In this role, you will act as an information resource and provide health/medical record related information to authorized medical providers, staff, and/or third‑party agents regarding residents. You will also assist with reviewing and updating health/medical record retention schedules; coordinate and retrieve information, and respond to public records requests related to medical/health records.

Duties

  • Receive all physician billing and tracking regulatory visits in Point Click Care (PCC) ensuring we are meeting US Department of Veterans Affairs, Department of Social and Health Services, and CMS requirements for timely visits.
  • Update Physician Visit Tracking in PCC and notify Physician of visits due to be seen.
  • Review the providers’ documentation and selected CPT codes using the Evaluation and Management tools to ensure that the provider chose the correct code and that all billable CPT codes are selected/documented.
  • Complete Physician Superbills and required coding. Compare the provider’s documented diagnosis against the markup superbill diagnosis to ensure each diagnosis is documented as addressed, sequenced correctly, and coded correctly per CMS.

Required Qualifications

  • Associate’s degree in health information technology or management.
  • 2 years’ experience working in Health Information Management (preferably long‑term care), or in a healthcare privacy or compliance office.

Preferred Qualifications

  • Certification as a Registered Health Information Technician (RHIT) or as a Registered Health Information Administrator (RHIA).

Special Requirements

  • Must be proficient in the English language.
  • Must be able to pass criminal background check, prior to hire and every 2 years, in accordance with DVA Policy 615.000 Criminal History Background Checks.
  • Must comply with annual Tuberculin Screening in accordance with DVA policy 670.600 Tuberculosis Testing.
  • Requires medical evaluation, fit testing, training, and use of respiratory protection as required by the Washington Industrial Safety and Act standards. Must be able to wear a respirator, medical gloves, gowns, eye protection, and other personal protection as required by a job or task.
