About the Role

Mittal Dermatology is a physician-owned, multi-location dermatology practice based in Orono, Minnesota, with satellite clinics in Plymouth, Maple Grove, Crystal, and Osseo, and a hybrid in-person and telehealth care model.

We are seeking a Head of Practice Operations to take full ownership of day-to-day operations across clinics, patient access, providers, HR, and revenue cycle coordination. This role exists to ensure the practice runs smoothly, consistently, and efficiently — without requiring routine involvement from the physician owner.

This is a hands-on operational leadership role
, not an administrative or coordinator position. This role owns outcomes.

Role Objective

The Head of Practice Operations is responsible for understanding the core objectives of the practice and translating them into clear, executable operational systems
.

This role ensures strategic priorities are reflected in daily workflows, staffing decisions, patient access, clinic operations, vendor management, and cost discipline.

Core Responsibilities
  • Patient Access & Call Reception
    • Oversee call reception and patient communication workflows
    • Optimize scheduling accuracy, responsiveness, and follow-through
    • Identify and correct gaps in call handling and patient messaging
  • Patient & Clinic Experience
    • Ensure smooth, consistent clinic operations across all locations
    • Standardize front-desk, rooming, and visit-flow processes
    • Resolve operational issues before they escalate
  • Staffing, Scheduling & Coverage
    • Ensure appropriate staffing coverage across clinics and virtual care
    • Anticipate hiring needs and reduce last-minute disruptions
  • Provider Onboarding, Licensing & Credentialing
    • Coordinate onboarding for new providers
    • Track and drive completion of licensing, credentialing, payer enrollment, and renewals
    • Enforce timelines and accountability
  • Billing, Claims & Revenue Cycle Oversight
    • Oversee billing and claims workflows with internal teams and external partners
    • Monitor claims follow-up, denials, and AR trends
    • Identify recurring issues and drive corrective action
  • Human Resources (Staff & Providers)
    • Own day-to-day HR operations
    • Partner with payroll/HR vendors (e.g., Paychex)
    • Enforce policies, performance standards, corrective actions, and terminations
  • Vendor & Partner Management
    • Manage operational relationships with key partners including:
    • Mod Med EMA / BOOST
    • Billing and credentialing vendors
    • Payroll and HR partners
  • Cost & Operational Discipline
    • Monitor staffing efficiency, operational spend, and vendor performance
    • Maintain discipline through standardization and accountability

  • Calls are handled consistently and professionally
  • Staffing and coverage are stable
  • Licensing and credentialing stay on track
  • Billing follow-up is organized and visible
  • HR issues are handled decisively
  • Day-to-day operational issues do not escalate to the physician owner
Qualifications
  • 7+ years of healthcare operations or practice management experience
  • Experience overseeing clinic operations, staffing, and HR workflows
  • Familiarity with licensing, credentialing, and payer enrollment
  • Working knowledge of billing and claims workflows
  • Experience working with EHRs, payroll/HR vendors, and external partners
  • Comfortable enforcing standards and accountability

Dermatology or multi-site healthcare experience strongly preferred.

Compensation
  • Base salary: $125,000 – $145,000
  • Performance bonus: based on operational stability, staffing coverage, cost control, and reduced escalations
