SUMMARY
We are seeking a Bilingual Litigation Legal Assistant to join our growing team in our Downtown Orlando office. This role plays a critical part in litigation support, client communication, and overall case management. The ideal candidate is highly organized, dependable, detail-oriented, and comfortable supporting attorneys and paralegals in a fast-paced legal environment. RESPONSIBILITIES- Client Intake, Case Setup & Relationship Care
- Serve as an initial point of contact for new prospective clients, guiding them through the early stages of opening a claim with clarity, patience, and care.
- Gather essential information at the outset of each case, including insurance details, police reports, and supporting documentation, and ensure all information is accurately entered into our CRM.
- Coordinate directly with insurance companies to initiate claims and confirm next steps, helping cases move forward efficiently from day one.
- Prepare and send client contracts in a timely and organized manner, ensuring prospective clients feel informed and supported throughout the onboarding process.
- Draft and send letters of representation to insurance companies and treating facilities, maintaining clear and professional communication on behalf of the firm.
- Case Follow-Up & External Coordination
- Request and obtain police reports and other required documentation to support active cases.
- Follow up on matters referred to outside firms, maintaining strong professional relationships and ensuring continuity for referred clients.
- Client & Referral Relationship Building
- Send handwritten thank-you notes to individuals who refer cases to the firm, taking pride in thoughtful, personal outreach that reflects our values and appreciation.
- Help build and maintain a meaningful client database, tracking important milestones such as birthdays, anniversaries, and family details to support thoughtful follow-up and gift-giving.
- Support ongoing relationship-building efforts by helping clients and referral partners feel remembered, valued, and genuinely cared for beyond the life of a single case.
- Law firm experience required.
- Minimum 6 months of experience working in a law firm, with personal injury experience strongly preferred.
- Fluent bilingual proficiency in English and Spanish (required).
- You are comfortable communicating clearly and professionally with clients and contacts in both languages.
- Exceptional interpersonal skills.
- You genuinely enjoy working with people, can empathize easily, and navigate sensitive or emotionally charged situations with tact, patience, and respect.
