Job Title: Crew Coordinator
Location: Orlando, FL
Department: Crew Services
Reports To: Crew Operations Manager
FLSA Status: Non-Exempt
Summary: The Crew Coordinator is the primary point of contact for Crew members and is responsible for managing schedules and coordinating all travel logistics within the immediate 72‑hour operational window. This role ensures safety, compliance with Federal Aviation Regulations (FARs), and timely travel support while helping protect the operation from delays.
Essential Functions- Crew Schedule Management:
- Manage daily Crew schedules within the immediate 72‑hour window and ensure compliance with all FARs and Company policies.
- Monitor flight and duty time limitations, rest requirements, and fatigue risks to support safe and legal operations.
- Assist with recovery during irregular operations (IROPS) by coordinating reassignment and travel needs that keep Crew members positioned and ready for duty.
- Travel Coordination:
- Book and update hotel accommodations, ground transportation, and commercial flight itineraries for Crew members and other NAL staff as needed.
- Rebook or cancel travel services when flights or assignments change and identify best available options based on operational needs.
- Utilize the Company’s travel tools and preferred vendors to ensure compliance with safety requirements and travel policy.
- Communicate travel details, updates, and last‑minute changes to Crew members to ensure they are informed and prepared.
- Assist with new hire and training travel arrangements, including air, hotel, and car transportation.
- Communication:
- Maintain clear and professional communication with Crew members, leadership, other departments, and business partners.
- Deliver timely updates regarding schedule changes, travel impacts, operational requirements, and recovery efforts.
- Crew Support:
- Serve as the primary point of contact for Crew members regarding schedules and travel.
- Advocate for Crew member needs while balancing operational requirements.
- Assist in identifying process improvements and share feedback with leadership to support continuous improvement.
Supervisor Responsibility: No
Work Hours: Shift work, including weekends and holidays to support a 24/7 operation.
Qualifications & Experience- High School Diploma or General Education Development (GED) Diploma
- One (1) year customer service experience (preferred)
- One (1) year resource/manpower planning experience (preferred)
- One (1) year airline crew scheduling and/or aviation experience (preferred)
- Must be able to read, write, and speak English fluently and effectively.
- Must be legally authorized to work in the country in which the position is located
- Must pass a background check which could include fingerprinting, a pre‑employment drug test, and criminal history records check (CHRC)
- A high level of attention to detail and creative problem‑solving skills.
- Ability to understand and evaluate complex processes.
- Ability to work efficiently while under pressure and with minimal supervision.
- Ability to effectively communicate important information and intricate plans.

- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, keyboard, telephone, copy machine/printer.

- Specific vision abilities required by this job include close vision requirements due to computer work
- Light to moderate lifting up to 10 pounds.
