Position Summary
The Culinary Administrator provides administrative, organizational, and operational support to the culinary leadership team. This role ensures efficient office operations, accurate record-keeping, and effective communication between the kitchen, food & beverage management, and other departments. The Culinary Admin plays a key role in supporting compliance, purchasing, scheduling, and departmental coordination.
Key Responsibilities- Provide daily administrative support to the Executive Chef and culinary leadership team
- Manage calendars, meetings, and departmental communications
- Prepare correspondence, reports, schedules, and presentations as needed
- Maintain organized digital and physical filing systems
- Assist with purchase orders, invoice tracking, and vendor documentation
- Maintain recipe files, menus, prep lists, and standardized culinary documents
- Track price changes, product availability, and vendor updates
- Support food cost tracking and reporting
- Assist with timekeeping, payroll submissions, and schedule distribution
- Track attendance, PTO requests, and labor documentation
- Ensure compliance with company policies and labor regulations
- Maintain training records, certifications (e.g., food safety), and compliance logs
- Assist with health inspection documentation and follow-ups
- Support HACCP, sanitation, and safety record-keeping
- Serve as a liaison between culinary teams and other departments (HR, Finance, Purchasing)
- Communicate deadlines, updates, and procedural changes clearly
- Assist with onboarding documentation for new culinary team members
- Support special events, menu rollouts, and operational projects
- 1–3 years of administrative experience, preferably in hospitality or food & beverage
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with scheduling or POS systems a plus
- Excellent written and verbal communication skills
- High attention to detail and confidentiality
- Experience working in a culinary or kitchen environment
- Knowledge of food & beverage operations and terminology
- Familiarity with inventory, purchasing, or labor management systems
- Serv Safe or food safety knowledge (preferred but not required)
- Primarily office-based with occasional time in kitchen or storage areas
- Ability to sit, stand, and walk for extended periods
- Occasional lifting of files, boxes, or office supplies (up to 25 lbs)
- Flexible schedule including occasional weekends or holidays based on business needs
