We are looking for a part time detail-oriented Administrative Assistant to join our team in Orlando, Florida. This position offers an exciting opportunity in the hospitality industry and is structured as a Contract to permanent role. The ideal candidate will excel in organizational tasks, communication, and multitasking, while contributing to various administrative and project management functions.
Responsibilities:
- Manage the classification, storage, and retrieval of organizational records to ensure accurate documentation practices.
- Administer the record storage database system and conduct research on files when necessary.
- Communicate with stakeholders to provide guidance on document retention procedures and standards.
- Reconcile data from operational teams and assist in surveying and organizing information.
- Schedule meetings with stakeholders, record minutes, and track action items to ensure follow-through.
- Draft and distribute communications to hotel operations teams, ensuring clarity and timeliness.
- Organize training sessions, monitor attendance, and maintain detailed records for future reference.
- Support the project manager by handling ad hoc requests and providing administrative assistance.
- Assist operations teams with account access and password management, tracking issues for resolution.
- Monitor shared inboxes, improve organizational structures, and facilitate meetings for fixed asset teams.
Requirements - Proven experience in administrative roles, showcasing strong organizational and multitasking skills.
- Familiarity with record retention and database management systems.
- Excellent verbal and written communication skills to effectively interact with stakeholders.
- Ability to organize meetings, take detailed minutes, and track action items.
- Proficiency in managing training sessions and attendance tracking.
- Strong problem-solving skills, particularly in handling account and system access issues.
- Experience in monitoring shared inboxes and maintaining organizational structures.
- Knowledge of the hospitality industry or related field is preferred but not required. Talent Match®
