Job Description
Step into the dynamic and rewarding role of an Academic Coordinator at F.I.R.S.T. We are seeking an organized, detail-oriented, and service-minded professional to support our Program Directors, Registrar, and Director of Academic Affairs in a fast-paced higher education environment. This role is ideal for someone who enjoys coordinating people, processes, and data while contributing to a student-centered culture.
The ideal candidate is highly organized, collaborative, and comfortable managing multiple priorities while supporting faculty, staff, and students across campus and on-line operations.
- Support multiple Program Directors with daily tasks and academic operations.
- Work alongside the Registrar and Director of Academic Affairs to support education and administrative workflows.
- Help ensure Campus and IDL classes have login support, Creative P.A.K. fulfillment, and required software access.
- Maintain internal department documents and required data to support registrar operations.
- Manage and update student files.
- Respond to student, faculty, and staff inquiries by email, phone, and in person.
- Assist with academic forms and documents.
- Transfer hard copy student files to digital archives after program completion.
- Conduct monthly audits of student records to ensure accuracy and compliance.
- Assist with graduation planning and graduate eligibility verification.
- Perform other duties as assigned.
- 2+ years of education administrative experience
- Strong organizational skills and attention to detail
- Strong interpersonal and communication skills
- Ability to work effectively with a wide range of constituencies in a diverse community
- Database management skills
- Ability to maintain confidentiality of records and information
- Ability to create, compose, and edit written materials
- Knowledge of records retention/destruction policies and procedures
- Knowledge of records archiving and retrieval processes
- High School Diploma or GED (or equivalent)
- On-campus availability (non-remote role)
- Experience working in a higher education or school setting
- Experience with student information systems (SIS)
- Experience using Canvas LMS
- Experience supporting registrar, academic affairs, or financial aid operations
- Experience with compliance-focused file management and audit preparation
