Assistant Position Summary

We are seeking a reliable, detail-oriented Administrative Assistant to join our Orlando office. This full‑time role supports daily office operations in our Construction Materials Testing department and provides administrative support to the team.

Essential Job Functions
  • Provides clerical, scheduling, document control, and customer service support to laboratory and field staff and helps ensure testing requests, sample tracking, reporting, billing, and compliance tasks run smoothly.
  • Learn and use daily, customized reporting software.
  • Typing reports and proposals using specific terminology, ensuring correct punctuation, grammar, and format.
  • Copying, collating, and binding reports, data entry, filing, incoming/outgoing mail, and other administrative tasks.
  • Serve as front‑line contact for CMT clients by phone, email, and in person; schedule tests, site visits, and technician assignments.
  • Receive and log incoming samples and maintain chain‑of‑custody documentation.
  • Prepare, format, proofread, and distribute test reports and transmittals to clients and internal teams.
  • Maintain document control; test logs, calibration and certification records, laboratory notebooks, and quality assurance documentation.
  • Create and maintain project folders ensuring all relevant permits, contracts, and submittals are filed.
  • Enter and reconcile test data, purchase orders, timecards, and basic accounting items; assist with invoicing and billing follow up.
  • Monitor and order lab/field supplies and arrange equipment calibration and routine maintenance.
  • Coordinate subcontractor paperwork, insurance certificates, and vendor communications.
  • Support compliance with relevant standards and procedures (e.g., ASTM, AASHTO) by ensuring test paperwork and certifications are up to date.
  • Assist with basic safety program administration (training logs, PPE inventory) and participate in safety meetings as required.
  • Provide administrative support to department staff: travel arrangements, meeting coordination, minute taking, and other duties as assigned.
  • Regular, reliable attendance and punctuality are essential functions of this role.
Required Qualifications
  • Minimum of two years administrative support experience.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Type 50+ WPM proficiently and accurately.
  • Proficient with Microsoft Office (Outlook, Word, and Excel).
  • Clear written and verbal communication skills; professional client/customer service demeanor.
  • Professional phone etiquette and customer relation skills.
  • Ability to work independently.
  • Must have reliable transportation.
  • Previous experience working in an engineering, architectural, or construction office is preferred.
  • Must be able to work at our office location during regular business hours.
Physical Requirements
  • Ability to sit and work at a computer for extended periods, with frequent computer use and verbal communication.
  • Ability to walk between offices or to nearby buildings as needed.
Work Environment / Environment Factors
  • Standard office environment.
  • In‑office presence is required Monday through Friday during posted business hours; occasional extended hours may be required to meet business needs.
